This job provides multi-faceted support to management, ensuring the smooth operation and support in daily activities. It is responsible for managing calendars, scheduling meetings, and coordinating travel arrangements. Additionally, the Sr Assistant will prepare and edit correspondence, reports, and presentations, ensuring all documents are accurate and professionally formatted. Scope: This job typically supports a Senior Vice President (SVP) or 1 SVP and 1 VP.
Job Description Summary: PayPals Enterprise Systems and Employee Technology organization is building an AI-native enterprise across finance, HR, legal, sales and IT. Were looking for an Executive Assistant Business Partner to support the VP who leads it - a fast-moving, data-driven technology executive with a broad, matrixed portfolio. This is a strategic partner role, not a scheduling role. This is a high-judgment role for someone who has supported a CIO, CTO or senior technology leader before and is comfortable in the language of IT and enterprise systems. You will understand the organizations priorities, manage the executives calendar independently, and exercise judgment about when to involve them - operating as the operational right hand across a wide set of stakeholders. Your way to impact: Own and defend the executives calendar, making fast trade-off decisions on priorities, conflicts and travel. Act as a trusted gatekeeper and first point of contact for internal and external stakeholders, from the executive leadership team to major technology vendors. Keep the executive ahead of what matters: meeting prep, follow-ups tracked, decisions and actions not dropped. Bring enough fluency in IT and enterprise systems to read context - who matters, whats urgent, what a meeting is really about - rather than handling logistics blind. Operate with discretion on confidential and sensitive information.
Essential Responsibilities
- Manages calendar of the executive and daily work with some instruction from others.
- Performs general administrative duties such as travel, expenses, department distribution list, purchase orders, ordering supplies in accordance with standard procedures practices.
- Engage and collaborate with the immediate team internal partners.
- May act as a delegate for the executive when reviewing and approving expense reports
- Proactively identifies opportunities to increase efficiency and improve processes, anticipating the needs of the executive team
- Collaborate regularly with peers and internal partners while developing and maintaining strong relationships.
Minimum Qualifications
- 5 years of relevant work experience
Additional Responsibilities Preferred Qualifications
- 8+ years as an executive assistant, including direct support of senior executives or technology leaders in large, global organizations.
- Prior experience supporting a CIO, CTO or senior technology executive - or working inside a technology organization.
- Working familiarity with IT and enterprise systems (for example SAP, Salesforce, ServiceNow, Workday) and the vocabulary of enterprise technology.
- Excellent calendar, travel and inbox management under constant change.
- Strong written and verbal communication, and the judgment to represent a senior executive well.
- High discretion with confidential information.
- Fluency with Microsoft 365 and Outlook, SharePoint, Google Workspace, Slack and collaboration tools.
- Comfortable with a fast, candid, data-driven operating style; proactive rather than reactive.
- Experience in executive operations or a strategic administrative business-partner role in a large, matrixed technology or financial-services company.
- Fintech or payments industry background.
- Experience supporting executives who work with major technology vendors and system integrators.
- Exposure to AI tools for scheduling, notes and productivity.
