Responsibilities and Duties:

Your responsibilities will include but not limited to:

• Handle end-to-end procurement activities from receiving purchase requests to order closure.
• Review purchase requisitions and ensure specifications, quantities, budgets, and approvals are complete.
• Identify, evaluate, and coordinate with suitable vendors and service providers.
• Source quotations, prepare comparative statements, and support vendor negotiations.
• Coordinate purchase orders, work orders, and other procurement documentation in line with institutional policies.
• Follow up with vendors on order confirmation, production, dispatch, delivery, installation, and service completion.
• Coordinate with internal departments, including Finance, Administration, IT, Facilities, Academics, and HR.
• Verify invoices, delivery challans, quotations, purchase orders, and supporting documents before processing.
• Maintain updated procurement trackers, vendor databases, quotation records, and order status reports.
• Monitor delivery timelines and proactively escalate delays, quality concerns, and discrepancies.
• Support vendor onboarding, documentation, performance tracking, and periodic evaluation.
• Ensure procurement records are properly maintained for audit and compliance purposes.
• Assist in identifying cost-saving opportunities while maintaining quality and service standards.
• Handle procurement-related queries and provide timely status updates to stakeholders.
• Perform other procurement and administrative duties assigned by the reporting manager.
• Willing to travel

What we are looking for:

• A Bachelor's degree in Commerce, Business Administration, Supply Chain Management, Operations, or a related discipline.
• Additional certification or qualification in procurement, supply chain, or materials management will be an advantage.
• 1-3 years of relevant experience in procurement, purchase, vendor management, or supply chain operations.
• Experience in an educational institution, corporate office, or similar service environment is desirable.
