The Role

We are looking for a sharp, process-driven Project Manager to be the studio's eyes and hands on site. This is a critical hire — you will own the on-ground execution of our projects end to end, bridging the design team and site reality with discipline, clarity, and care.

Beyond day-to-day execution, you will have a real opportunity to help us build and refine the systems and processes that will define how KULx delivers projects at scale. If you are someone who loves both the detail and the big picture, this role is for you.

Key Responsibilities

• Conduct regular site visits to monitor progress, quality, and workmanship, logging detailed daily notes into Notion
• Own and maintain project Gantt charts and scheduling documents; proactively flag delays and propose corrective action
• Prepare and manage Bills of Quantities (BOQs) with accuracy and thoroughness
• Oversee all procurement activity — sourcing, vendor coordination, purchase orders, and timely delivery of materials to site
• Maintain comprehensive site documentation: material requirements, RFIs, approvals, daily attendance of labour and contractor teams
• Coordinate and prepare weekly site visit packages for the Architect / Interior Designer in charge and the Studio Director
• Track and report on project budgets; reconcile expenditure against approved BOQs
• Liaise with contractors, vendors, consultants, and clients in a professional and timely manner
• Ensure health, safety, and site cleanliness standards are maintained across all projects

Qualifications & Experience

• Bachelor's degree in Civil Engineering, Architecture, or a related field — mandatory
• 2–3 years of hands-on experience executing interior fit-out or architectural projects in a site-facing role
• Must have led or closely managed at least 2 decent-sized projects end to end — from site mobilisation through to handover
• Prior experience in architecture execution (not only interior fit-outs) is a strong plus
• Working knowledge of AI tools (e.g., ChatGPT, Notion AI, or similar) for documentation, reporting, and daily workflows — this is a mandatory requirement, not a nice-to-have
• Demonstrated experience using AI tools to streamline project management, scheduling, or site operations is a very big plus
• Proficiency in preparing and managing BOQs and site schedules
• Strong command of MS Excel or Google Sheets for cost and scheduling workbooks
• Experience with Notion for project documentation is a significant advantage
• Familiarity with AutoCAD or similar tools for reading drawings is preferred
