Export Documentation and Operations

Job Title: Executive Export Documentation and Operations

Location: Park Street, Kolkata

To manage end-to-end export and import documentation, coordinate logistics operations, and ensure timely execution of shipments, compliance, and vendor payments.

Key Responsibilities

1. Export Documentation

- Prepare export contracts for CRPL, overseas entities, and merchant exports

- Issue Proforma Invoices

- Prepare Commercial Invoices and Packing Lists for Shipping Bill generation

- Prepare post-shipment documentation including Commercial Invoice, Packing List, Certificate of Origin, Insurance, and MSDS

-Review and finalize Draft Bills of Lading (BL)

-Verify and finalize Draft Inspection Reports

-Prepare documentation for contracts under LC and CAD payment terms

3. Export Operations

- Follow up with foreign buyers for advance payments

- Coordinate with freight forwarders for ocean freight finalization

- Coordinate with CHA for timely container pickup, stuffing, and port entry within cut-off timelines

- Follow up for payment realization in foreign currency (USD/EURO) under credit terms

4. Billing & Vendor Payments

-Verify vendor bills against supporting documents

-Cross-check bills with corresponding SOs and POs

-Obtain necessary approvals from reporting manager/senior authority

-Coordinate with IT/SAP team for accurate system entries

- Submit bills to Accounts and follow up for timely vendor payments

Key Skills & Competencies

-Strong knowledge of export documentation and procedures

- Familiarity with customs regulations and CHA coordination

- Proficiency in SAP and documentation systems

- Attention to detail and compliance orientation

- Strong coordination and follow-up skills

- Good communication skills for dealing with international clients and vendors
