Warehouse Manager

Role Purpose

The Warehouse Head is responsible for leading and directing all warehouse operations to ensure the efficient, safe, and accurate handling of goods. This role ensures optimal inventory management, timely order fulfilment, and the implementation of best-in-class warehouse practices. The WH Head drives operational excellence by overseeing staff performance, ensuring compliance with safety and quality standards, and aligning warehouse functions with broader business objectives. Ultimately, the role ensures that the warehouse operates as a critical hub in customer satisfaction and companys vision.

Warehouse & Distribution Operations

• Oversee receipt, storage, quality checks, packing, and dispatch of finished garments to domestic and export customers.
• Ensure accurate and timely order fulfillment, adherence to SLAs/TAT, and zero miss-shipments.
• Drive space utilization, layout optimization, and material flow efficiency across the warehouse.
• Monitor inventory accuracy through cycle counts, periodic stock audits, and reconciliation with WMS/ERP systems.
• Implement FIFO/FEFO and lot traceability practices as applicable.
• Develop & implement operational strategies to maximize efficiency, minimize costs and enhance productivity.
• Identify cost savings opportunities through process improvements, resource optimization, and waste reduction.

Workforce & People Management

• Manage manpower planning, shift scheduling, and workload distribution across multiple shifts/lines to meet peak-season and daily dispatch targets.
• Build and lead a layered team structure (Managers Supervisors Team Leaders Operators/Helpers).
• Drive productivity benchmarks, attendance management, and discipline across the workforce.
• Handle contract labour management, liaise with labour contractors/staffing agencies, and ensure compliance.
• Manage employee relations, grievance handling, and coordination with HR/IR teams to maintain harmonious labour relations.
• Identify training needs and drive skill development, cross-training, and succession planning for supervisory staff.
• Develop succession plans and support staff development programs to scale operations with business growth
• Conduct performance evaluations, providing feedback and support development initiatives.

Process, Cost & Systems

• Drive improvements in stock rotation (FIFO), replenishment planning, and order accuracy to meet retail demand.
• Drive process improvement (Lean/Kaizen) initiatives to reduce cycle time and operating costs.
• Own the P&L/cost budget for the warehouse manpower cost, packing material, logistics cost optimization.
• Ensure effective utilization of WMS/ERP/barcode systems; drive automation initiatives where feasible.
• Prepare and present daily/weekly/monthly MIS reports on dispatch, productivity, manpower to senior management.

Other Key tasks to be managed

• Oversee the maintenance, troubleshooting &repair of conveyors, other technical equipments and inventory management software.
• Maintain real-time inventory visibility across the national warehouse network.
• Negotiate with freight carriers, third-party logistics (3PL) providers, and service partners to achieve the best service and pricing outcomes.
• Oversee the use and enhancement of Warehouse Management Systems (WMS), ERP systems, and automation tools to increase operational efficiency.
• Lead digital transformation initiatives where applicable, such as barcode scanning, robotics, or predictive analytics.
• Implement best practices and continuous improvement initiatives to increase efficiency and reduce costs.
• Prepare regular reports and present performance insights to senior management.

Stakeholder Coordination

• Coordinate with Production, Merchandising, Quality, Transport/Logistics, and Customer Service teams to ensure smooth flow from production to dispatch.
• Liaise with transporters/3PL partners for timely vehicle placement and dispatch execution.
• Interface with sales/customers - internal on shipment schedules and documentation as needed.

Compliance, Safety & Statutory

• Ensure consistency in standard operating procedures (SOPs) and compliance
• Support internal and external audits (e.g., financial, regulatory, safety).
• Address escalations or complaints related to warehouse fulfilment and delivery issues.
• Champion warehouse safety programs (fire safety, material handling, PPE compliance, emergency preparedness).
• Ensure adherence to 5S, housekeeping, and quality standards across the facility.

Key Skills & Competencies

• Strong people management skills with proven experience handling large blue-collar workforce (500+)

• Sound knowledge of labour laws, contract labour compliance, and IR practices in Tamil Nadu

• Strong understanding of warehouse operations, inventory management, and dispatch planning.

• Working knowledge of WMS/ERP systems (SAP, Oracle, or similar)

• Data-driven decision-making with strong MIS/reporting skills

• Crisis management, conflict resolution, and stakeholder management • Lean/Six Sigma or process improvement exposure preferred
