JOB DESCRIPTION: PURCHASE EXECUTIVE

Position: Purchase Executive

Department: Procurement / Purchase

1. Purpose of the Role

To ensure timely, cost-effective, and quality procurement of raw materials, consumables, spare parts, and services required for smooth operation of RMC plant and heavy fabrication Factory

2. Key Responsibilities

A. Procurement Planning & Coordination

• Understand material requirements from Production, QA/QC, Maintenance, and Store departments.
• Prepare and process Purchase Requisitions (PR) and convert them into Purchase Orders (PO).
• Ensure availability of critical materials such as:
• Cement, aggregates, admixtures (RMC)
• Steel, plates, sections, welding consumables (Fabrication)
• Machinery spare parts, tools, and consumables

B. Vendor Management

• Identify, evaluate, and develop reliable vendors/suppliers.
• Maintain an Approved Vendor List (AVL) as per ISO requirements.
• Conduct vendor comparison based on:
• Price
• Quality
• Delivery timelines
• Negotiate rates, credit terms, and contracts to achieve cost savings.

C. Purchase Order Management

• Prepare accurate and authorized Purchase Orders with complete specifications.
• Ensure all POs include:
• Technical specifications
• Quantity and delivery schedule
• Payment terms
• Follow up with suppliers for timely delivery.

D. Cost Control & Budget Monitoring

• Ensure procurement within approved budget.
• Maintain cost records and support cost reduction initiatives.
• Compare quotations (minimum 3 quotes preferred for audit compliance).

E. Inventory & Store Coordination

• Coordinate with Stores to:
• Monitor stock levels
• Avoid overstocking or stock-outs
• Support implementation of FIFO / stock control systems.

F. Quality & Compliance

• Ensure procured materials meet required quality standards.
• Coordinate with QA/QC for inspection and approval.
• Ensure compliance with:
• ISO standards (9001 / 14001 / 45001 as applicable)
• Company procurement policies
• Maintain documentation for audit:
• PR, PO, Quotations, GRN, Invoice

G. Logistics & Delivery Management

• Track dispatch and delivery of materials.
• Coordinate transportation when required.
• Resolve delivery delays and discrepancies.

H. Documentation & Record Keeping

• Maintain proper purchase records:
• Vendor quotations
• Comparative statements
• Purchase Orders
• Delivery records
• Ensure documents are audit-ready at all times.

I. Coordination with Accounts

• Verify supplier invoices against PO and GRN.
• Coordinate for timely payment processing.
• Maintain reconciliation of vendor accounts.

J. Risk & Emergency Procurement

• Handle urgent procurement for breakdowns and site emergencies.
• Develop backup suppliers for critical materials.

3. Key Materials Handled

RMC Plant:

• Cement, sand, aggregates
• Admixtures and chemicals

Fabrication Unit:

• Steel plates, beams, angles
• Welding rods, gases

General:

• Diesel, lubricants
• Electrical and mechanical spares

4. Required Skills

• Strong negotiation and vendor handling skills
• Knowledge of construction / fabrication materials
• Basic understanding of technical specifications
• Good coordination and communication skills
• Working knowledge of ERP / MS Excel

5. Educational Qualification

• Graduate (B.Com / BBA / Engineering preferred/ or any graduate)

6. Experience

• 1 to 2 years in purchase/procurement (RMC / construction / fabrication preferred)

7. Salary

• Salary: As per technical round / interview performance
