Walk-in || IPD Executive

Role & responsibilities

• Manage IPD admission and registration processes as per hospital protocols.
• Coordinate with patients and attendants regarding admission formalities, required documents, room categories, deposits, and hospital procedures.
• Coordinate with the Bed Management/Operations team for bed and room allocation.
• Ensure accurate and timely updating of patient information in the hospital information system.
• Coordinate with Billing, Nursing, Medical, Insurance/TPA, Pharmacy, Diagnostics, and other support departments for smooth patient movement and services.
• Explain hospital procedures, charges, and other relevant information to patients/attendants in a clear and courteous manner.
• Coordinate with the concerned departments for shifting, transfers, procedures, investigations, and other patient requirements.
• Monitor pending documentation and ensure that required forms and records are completed appropriately.
• Coordinate with the Billing/Insurance team regarding advance payments, approvals, credit cases, insurance/TPA requirements, and pending documents.
• Assist in coordinating the patient discharge process, including clearance from concerned departments and completion of discharge formalities.
• Follow up on pending discharge clearances and coordinate with Billing, Nursing, Pharmacy, and other departments to avoid unnecessary delays.
• Handle patient and attendant queries professionally and escalate unresolved issues to the concerned HOD/Manager.
• Maintain proper records and documentation related to IPD admissions, transfers, discharges, and other transactions.
• Ensure adherence to hospital policies, SOPs, NABH standards, and patient safety requirements.
• Maintain confidentiality of patient information and hospital records.
• Identify process gaps and communicate them to the reporting manager for corrective action.
• Support the IPD team in maintaining smooth and efficient patient flow.

• Strong interpersonal and patient-handling skills.
• Good coordination and follow-up abilities.
• Basic knowledge of hospital/IPD processes.
• Good computer skills and familiarity with hospital software/HIS.
• Ability to work under pressure and handle multiple tasks simultaneously.
• Customer-service orientation with a polite and professional approach.
• Good attention to detail and documentation skills.
• Ability to work effectively with clinical and non-clinical teams.
