Walk-in || Billing Assistant

Job Purpose

The Billing Assistant will be responsible for managing billing-related activities for elite patients and their attendants at Apollo One, ensuring accurate, timely, transparent, and courteous service. The role will coordinate closely with clinical, front-office, insurance, pharmacy, diagnostics, and other support teams to provide a seamless premium patient experience.

Key Responsibilities

• Handle billing activities for elite/VIP patients with a high level of professionalism, courtesy, and confidentiality.
• Generate and process accurate bills, estimates, receipts, refunds, and other billing-related documents as per hospital protocols.
• Explain billing details, charges, packages, and payment procedures to patients and attendants in a clear and courteous manner.
• Ensure timely processing of bills to minimize waiting time for patients and attendants.
• Coordinate with doctors' secretaries, nursing, diagnostics, pharmacy, front office, insurance, and other departments for accurate billing.
• Verify patient details, services availed, packages, discounts, approvals, and other relevant billing information before finalizing bills.
• Handle cash, card, UPI, online payments, and other approved modes of payment while following established financial procedures.
• Assist with advance payments, adjustments, refunds, and final settlements as per organizational guidelines.
• Coordinate with the insurance/TPA team wherever applicable and facilitate smooth documentation and approval processes.
• Maintain complete and accurate billing records and ensure proper documentation.
• Address billing-related queries and concerns professionally and escalate complex issues to the appropriate authority.
• Maintain strict confidentiality of patient information, financial details, and other sensitive records.
• Proactively coordinate with relevant teams to identify and resolve billing discrepancies.
• Ensure compliance with Apollo One's billing policies, SOPs, audit requirements, and service standards.
• Support the team during high-profile or special patient visits by ensuring billing requirements are handled discreetly and efficiently.
• Maintain a calm, polished, and service-oriented approach, particularly while handling sensitive or high-value transactions.
• Provide appropriate follow-up on pending payments, approvals, or billing corrections.

Desired Candidate Profile

• Graduate in Commerce, Accounting, Finance, Hospital Administration, or a related field.
• 14 years of experience in hospital billing, healthcare administration, hospitality, banking, or a premium customer-service environment.
• Prior experience in hospital billing or handling VIP/HNI customers will be an advantage.
• Good knowledge of billing processes, payment modes, and basic accounting principles.
• Strong numerical and analytical skills with excellent attention to detail.
• Good verbal and written communication skills.
• Pleasant personality with a patient-centric and service-oriented approach.
• Ability to maintain confidentiality and handle sensitive financial and patient information.
• Good computer skills and familiarity with hospital information systems/billing software.
• Ability to work effectively with multiple departments and manage priorities in a fast-paced environment.
