About the role

The ideal candidate will bring strong travel operations experience, excellent vendor management and negotiation skills, and the ability to manage multiple travel requirements in a fast-paced environment. The person will ensure seamless travel experiences while maintaining cost efficiency, policy

Specifically, this role will involve

• Managing domestic and international travel arrangements, including flights, hotels, ground transportation, and other travel-related requirements.
• Coordinating travel for leadership, employees, faculty, visiting speakers, industry leaders, students, and institutional delegations.
• Handling the complete travel lifecycle, from requirement gathering and itinerary planning to bookings, confirmations, changes, cancellations, and reimbursements.
• Developing detailed itineraries and ensure all travel documents, tickets, hotel confirmations, and transportation arrangements are shared in advance.
• Managing last-minute travel requests, itinerary changes, and emergency situations efficiently.
• Ensuring a seamless travel experience for all stakeholders through proactive communication and timely support.
• Negotiating competitive rates, corporate fares, hotel agreements, and preferred vendor arrangements.
• Evaluating vendor performance on service quality, responsiveness, pricing, and reliability.
• Developing a preferred vendor network to improve service consistency and cost efficiency.
• Resolving booking discrepancies, billing issues, cancellations, refunds, and vendor escalations.

• Should be comfortable managing everything from leadership travel and complex international itineraries to group bookings for academic programs and institutional events.
• The candidate should be proactive, commercially minded, resourceful, and capable of building scalable travel processes while delivering a consistently high-quality experience for every traveller.
