Travel Booking & Bookkeeping Job Description

Role Overview

Responsible for managing end-to-end corporate travel bookings and travel-related bookkeeping, including bookings, invoice verification, expense processing, vendor reconciliation and payment coordination.

Key Responsibilities

• Manage flight, hotel and cab bookings through corporate travel portals.
• Handle cancellations, rescheduling, refunds and credit notes.
• Monitor travel wallet balance, credit limits and recharges.
• Verify booking details, vendor invoices and GST invoices.
• Reconcile travel portal transactions, bookings, invoices and expenses.
• Upload and track travel expenses in the expense management/ERP system.
• Maintain vendor ledgers, booking records and outstanding balances.
• Coordinate with employees, travel vendors and Accounts team for invoice and payment processing.
• Track pending invoices, refunds, advances and payment status.
• Prepare travel expense MIS and reconciliation reports.
• Identify and resolve booking, invoice and accounting discrepancies.
• Ensure compliance with company travel policy and documentation requirements.
• Support audit requirements by maintaining complete travel and accounting records.

Required Skills

• Good knowledge of MS Excel, reconciliation and MIS reporting.
• Understanding of bookkeeping, vendor reconciliation and expense accounting.
• Good coordination, follow-up and analytical skills.
• Experience with MakeMyTrip/MyBiz or similar corporate travel platforms is preferred.
• Attention to detail and strong numerical accuracy.
