Department: Tendering Executive

Location: Vidyavihar, Mumbai

Reporting To: Manager

Job Purpose

To manage the end-to-end tendering process, including identification of tenders, preparation and submission of technical and commercial bids, coordination with internal departments, and ensuring timely and accurate tender submissions.

Key Responsibilities

• Identify and monitor relevant government, municipal, PSU and private tenders through appropriate tender portals.
• Review tender documents, eligibility criteria, scope of work, BOQ, technical specifications, EMD, tender fees, and other requirements.
• Prepare tender checklists and ensure all required documents are available before submission.
• Coordinate with Commercial, Finance, HR, Operations and Technical teams for required information and documents.
• Prepare technical and commercial tender documentation as per tender requirements.
• Coordinate for EMD, tender fees, performance security, bank guarantees and other financial requirements.
• Upload and submit tenders within prescribed timelines and ensure successful submission.
• Prepare tender queries, clarification requests and pre-bid documentation wherever required.
• Maintain proper records of submitted tenders, tender status, results, agreements and related documents.
• Track tender opening dates, technical evaluation, financial bids, negotiations and award status.
• Assist in preparation of comparative statements, costing sheets and bid analysis.
• Ensure compliance with tender conditions and highlight commercial, technical or contractual risks to management.
• Coordinate with project/operations teams for manpower, equipment, costing and technical inputs required for bids.
• Maintain a database of ongoing, upcoming, submitted and awarded tenders.
• Support management in preparing tender-related MIS and periodic reports.

Candidate Profile

• Qualifiation Mechanical engineering background only
• Experience: Min 3 years of experience in tendering/bidding, preferably in government, municipal, infrastructure, environmental services, firefighting, mechanical or O&M projects.
• Good understanding of government/PSU tendering procedures and e-tender portals.
• Strong knowledge of MS Excel, Word and preparation of tender documentation.
• Good analytical, documentation and coordination skills.
• Ability to understand technical and commercial tender requirements.
• Good written and verbal communication skills.
• Ability to work under strict deadlines and manage multiple tenders simultaneously.
