Job summary

The Team Leader Lab Admin is responsible for supervising and coordinating the daily operations of the Lab Administration team to ensure smooth, accurate, and secure processing of diamonds and jewellery throughout the production workflow. The role involves leading the team, monitoring operational efficiency, maintaining quality and security standards, and ensuring timely completion of all lab administrative processes.

Key responsibilities

• Lead and supervise the Lab Admin team to ensure smooth day-to-day operations and achievement of production and quality targets.
• Allocate work, monitor team performance, and ensure timely completion of assigned tasks.
• Ensure strict adherence to quality standards, operational procedures and security protocols.
• Maintain a high level of accuracy and thoroughness in all lab administration and production support processes.
• Oversee client account application, renewal, and update processes where applicable.
• Supervise the weighing of diamonds and jewellery, ensuring accurate physical and electronic data capture.
• Monitor label printing, consumable allocation (cassettes, RFID, etc.), and other operational support activities.
• Ensure proper cleaning, laser inscription/engraving, report printing, and parcel matching processes are carried out as per standard procedures.
• Coordinate the distribution and movement of stones across departments to ensure an efficient workflow.
• Ensure proper storage, handling, and security of diamonds and jewellery during operations, including vault and IC opening and closing procedures.
• Track turnaround time and ensure stones are processed and returned without delays or discrepancies.
• Investigate and resolve operational issues such as workflow delays, process errors inventory mismatches, and coordination challenges.
• Maintain accurate operational records, reports, and documentation.
• Coordinate with grading, production, quality, customer service, and other departments to ensure seamless operations.
• Train, coach, and mentor team members to improve productivity, accuracy, and adherence to processes.
• Monitor attendance, discipline, overtime requirements, and shift planning for the team.
• Identify process improvement opportunities and support the implementation of operational excellence initiatives.
• Ensure compliance with company policies, audit requirements, and safety and security standards.

Qualification & skills

• Minimum 4+ years of experience into Team Management role.
• Strong understanding of lab administration workflows, inventory control, and secure handling of diamonds and jewellery.
• Good knowledge of operational processes, quality standards, and production coordination.
• Strong leadership, team management, and interpersonal skills.
• Excellent problem-solving, coordination, and decision-making abilities.
• Ability to work under pressure and manage multiple operational priorities.
• Good communication skills in English (spoken and written).
• Flexible to work overtime, shifts, and travel within HRD national and international locations when required.
• Willingness to take ownership of operations and support additional responsibilities as assigned.

• Graduate in any discipline.
