Industry: Pharmaceutical Formulation Operations

1. Job Purpose

To manage procurement activities for raw materials, including Active Pharmaceutical Ingredients (APIs) and excipients, ensuring timely purchasing, regulatory compliance, cost-effectiveness, and material availability as per production requirements. The role involves supporting RFQ processing, Purchase Requisition (PR)-to-Purchase Order (PO) conversion, vendor coordination, and material delivery tracking.

2. Key Responsibilities

• Raw Material Procurement: Manage procurement of APIs and excipients from domestic and international suppliers.
• RFQ Management: Coordinate with vendors for Request for Quotation (RFQ), quotation collection, price comparison, and commercial evaluation.
• PR-to-PO Processing: Convert approved Purchase Requisitions into Purchase Orders in SAP MM, ensuring accuracy and adherence to procurement procedures.
• Regulatory Compliance: Ensure availability and verification of vendor documents required for APIs and excipients intended for ROW and US markets, in coordination with QA, RA, and other relevant departments.
• Material Delivery Coordination: Coordinate with SCM, production planning, and vendors to ensure timely delivery of materials as per the approved procurement plan.
• Vendor Coordination: Follow up with suppliers regarding order confirmation, dispatch schedules, delivery commitments, and pending materials.
• SAP Master Data: Maintain and update the Vendor Qualification (VQ) Master in SAP, in coordination with the concerned departments.
• MIS Reporting: Prepare and support monthly and annual MIS reports covering procurement activities, order status, pending PRs/POs, delivery performance, and other relevant purchasing metrics.
• Documentation and Records: Maintain accurate procurement records, quotations, purchase orders, vendor documentation, and related reports.
• Process Compliance: Ensure adherence to internal procurement policies, SOPs, quality requirements, and applicable pharmaceutical industry procedures.

3. Educational Qualification

• B.Sc. or B.Pharm.
• MBA or Post Graduate Diploma in Materials Management preferred.

4. Experience Required

• 5–7 years of relevant experience in the pharmaceutical industry, specifically in formulation operations.
• Hands-on experience in procurement of APIs and excipients.
• Experience in domestic and import purchasing, preferably supporting ROW and US-market products.

5. Required Skills and Competencies

• Strong working knowledge of SAP MM, including PR-to-PO conversion and MIS reporting.
• Practical understanding of pharmaceutical raw material procurement and vendor qualification documentation.
• Proficiency in MS Excel, MS Office, and Google Sheets.
• Good analytical, coordination, negotiation, and follow-up skills.
• Effective verbal and written communication skills.
• Ability to manage multiple procurement activities and meet material delivery timelines.

• Timely conversion of approved PRs into POs.
• Adherence to planned material delivery schedules.
• Accuracy and timeliness of procurement MIS reports.
• Compliance with vendor qualification and documentation requirements.
• Timely follow-up and resolution of pending procurement orders.
