Job description

Key Responsibilities

1. SOP & Compliance Management

• Ensure all Standard Operating Procedures (SOPs) related to warehouse activities are current, valid, and strictly followed.
• Monitor all warehouse and dispensing activities to ensure compliance with approved procedures and proper documentation.

2. Training & Development

• Conduct and ensure scheduled training programs for staff and support staff.
• Maintain training records and evaluate effectiveness.

3. Warehouse Planning & Operations

• Plan and execute daily and monthly warehouse activities efficiently.
• Ensure proper storage and handling of materials as per defined guidelines.

4. Inventory & Stock Management

• Maintain optimum stock levels of Raw Materials, Packing Materials, and Finished Goods.
• Prepare and submit monthly stock reports to management.
• Ensure timely communication of retest and expired materials to concerned departments.

5. Coordination & Communication

• Coordinate with Production, QA, QC, Purchase, PPIC, Marketing, and Logistics departments for smooth operations.
• Maintain strong interdepartmental relationships.

6. Dispensing & Documentation

• Ensure all dispensing activities are carried out as per SOPs.
• Maintain accurate and complete records for all warehouse transactions.

7. Manpower Management

• Optimize manpower utilization to achieve maximum efficiency.
• Ensure adherence to cGMP norms by all staff.

8. Audit & Compliance

• Ensure readiness for internal and external audits.
• Implement corrective and preventive actions (CAPA) for audit observations.

9. Quality & Investigation Support

• Participate in investigations related to market complaints, deviations, and incident reports as required.

10. Calibration & Maintenance

• Ensure daily, monthly, and yearly calibration of all weighing balances.
• Review and follow up on calibration and preventive maintenance schedules with the Engineering department.

11. Material Receipt & GRN Process

• Ensure proper inspection of all incoming consignments before GRN preparation.
• Verify documentation and compliance before acceptance.

12. Regulatory Compliance

• Maintain all required NOCs (FDA) and ensure regulatory compliance at all times.

13. Procurement Coordination

• Review and verify Raw and Packing Material indents.
• Coordinate with the Purchase department for timely procurement.

14. Finished Goods Management

• Handle dispatch of finished goods including oral dosage and external preparations.
• Maintain accurate stock records of finished goods.

15. Dispatch & Logistics

• Prepare packing lists as per customer work orders.
• Arrange transportation and ensure timely dispatch for domestic and export orders.

16. cGMP & GDP Implementation

• Ensure strict implementation of cGMP and GDP practices within the warehouse.

17. Cross-functional Coordination

• Coordinate with Marketing and Logistics for dispatch planning.
• Communicate with PPIC and Purchase for material planning and deliveries.

18. Additional Responsibilities

• Perform any other duties assigned by management in case of urgency or business requirements.

Knowledge Required

1. 7-8years of experience in Formulation Pharmaceutical Plant.

2. Relevant Experience in Pharma formulation plant.

3. Computer proficiency in MS Office, Excel, e-mail and internet functions.
