About this role
Key Responsibilities:
- Process and post vendor invoices accurately and timely for multiple Homeowners Associations (HOAs) in accordance with established accounting policies and procedures.
- Review, validate, and split invoices to ensure proper allocation across associations, properties, departments, and General Ledger (GL) accounts.
- Analyze rejected invoices, investigate discrepancies, coordinate with vendors and internal stakeholders, and ensure timely resolution.
- Process security deposit refunds while ensuring proper approvals, supporting documentation, and compliance with HOA requirements.
- Perform ledger adjustments, journal entries, and account corrections to maintain accurate financial records and account balances.
- Track, update, and manage invoice-related queries and exceptions through Asana while maintaining detailed documentation of actions taken.
- Collaborate with Relationship Managers (RMs), Community Managers, vendors, and internal teams through calls and chats to resolve invoice, payment, and account-related inquiries.
- Ensure all supporting documentation is properly maintained and readily available for audits, compliance reviews, and management reporting.
- Support month-end close activities by reviewing outstanding invoices, resolving exceptions, and ensuring complete and accurate AP records.
- Identify process improvement opportunities to enhance efficiency, accuracy, and service levels within the Accounts Payable function.
- Hands on experience in Payment process
Requirements -
- Bachelor's degree in Accounting, Finance, Commerce, or a related field.
- Strong understanding of invoice processing, vendor management, GL coding, ledger adjustments, and journal entries.
- Experience working with accounting systems, ERP platforms, and workflow management tools.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Ability to manage high invoice volumes while maintaining accuracy and meeting deadlines.
- Excellent analytical, organizational, and problem-solving skills.
- Strong verbal and written communication skills with the ability to interact professionally with vendors, homeowners, property managers, and internal stakeholders.
- Experience with Asana or similar ticket management systems is preferred.
- Ability to maintain confidential information and work effectively in a fast-paced, team-oriented environment.
