Senior Executive - Logistics

Role & responsibilities

Key Responsibilities

1. Dispatch & Logistics Operations

• Plan and coordinate daily dispatch activities based on customer/dealer requirements.
• Coordinate with warehouse and sales teams for timely dispatch.
• Arrange vehicles and coordinate loading and dispatch activities.
• Monitor shipments from dispatch until final delivery.
• Follow up on pending, delayed, and undelivered shipments.

2. Transporter Coordination

• Coordinate with transporters for vehicle placement and delivery.
• Follow up with transporters regarding shipment status and delivery schedules.
• Monitor transporter performance and resolve operational issues.
• Coordinate for transportation-related complaints and escalations.

3. ERP & Documentation

• Update and maintain logistics transactions in the ERP system.
• Verify dispatch-related documents, invoices, delivery challans, LR/GR, e-way bills, and other required documents.
• Ensure accuracy of ERP entries and logistics documentation.
• Maintain proper records of dispatch and delivery transactions.

4. Delivery & POD Follow-up

• Monitor delivery commitments and ensure timely delivery.
• Follow up for Proof of Delivery (POD) from transporters/customers.
• Maintain pending POD records and ensure timely closure.
• Coordinate for shortages, damages, delivery discrepancies, and related issues.

5. Freight & Logistics Cost Monitoring

• Verify transporter bills and freight-related documents.
• Monitor freight expenses against approved rates.
• Coordinate with Accounts for transporter bill processing.
• Support management in identifying logistics cost-saving opportunities.

6. MIS & Reporting

• Prepare daily, weekly, and monthly logistics reports.
• Maintain dispatch, delivery, pending shipment, POD, transporter, and freight reports.
• Provide accurate logistics data for management review.
• Track key logistics performance indicators and pending activities.

7. Cross-Functional Coordination

• Coordinate with Sales, Warehouse, Accounts, Purchase, Production, and Customer Service teams.
• Ensure smooth communication between internal departments and transporters.
• Escalate critical delivery and logistics issues to the reporting manager.
• Support timely resolution of operational issues.

8. Process Compliance

• Ensure logistics activities are carried out according to company procedures.
• Maintain proper documentation and records.
• Support process improvement initiatives within logistics operations.
• Ensure timely closure of pending logistics activities.

Preferred candidate profile

• 36 years of experience in Logistics Operations / Dispatch / Transportation / Supply Chain.
• Experience in a manufacturing or FMCG or product-based company is preferred.
