Sales Coordinator - Hyderabad

About the Role

We are looking for a proactive and organized Sales Coordinator to support our Sales and Business Development team in managing day-to-day sales operations, customer coordination, order processing, dispatch follow-up, documentation, collections and sales MIS.

The ideal candidate should have experience in sales coordination / sales operations / order management, preferably from the Construction Chemicals, Building Materials, Cement, RMC, Paints, Waterproofing, Adhesives or other technical B2B industries.

Key Responsibilities

Sales Coordination & Order Management

• Coordinate with Area Sales Managers, Business Development Managers and other sales team members for day-to-day sales activities.
• Receive customer/dealer enquiries and coordinate with the sales team for timely responses.
• Prepare and process quotations, sales orders, proforma invoices and other commercial documents.
• Coordinate with customers and dealers for purchase orders, order confirmations and required documentation.
• Track orders from order confirmation through dispatch and delivery.
• Monitor pending orders and coordinate with the concerned departments for timely execution.

Customer & Dealer Coordination

• Act as a coordination point between customers, dealers and the sales team.
• Handle routine customer queries related to orders, product availability, pricing, dispatches and delivery status.
• Maintain regular communication with customers and dealers to ensure smooth order execution.
• Coordinate with sales personnel regarding new enquiries, repeat orders and pending customer requirements.

Dispatch & Logistics Coordination

• Coordinate with Warehouse, Logistics and Dispatch teams for timely shipment of customer orders.
• Track dispatches and deliveries and provide updates to customers and sales personnel.
• Follow up on pending deliveries, shortages, damages or other delivery-related issues.
• Ensure necessary dispatch and delivery documentation is completed and maintained.

Sales MIS & Reporting

• Prepare daily, weekly and monthly sales reports.
• Maintain sales order, enquiry, quotation, dispatch and collection trackers.
• Prepare target vs. achievement reports and provide regular updates to the sales management team.
• Maintain customer-wise and sales-person-wise sales data.
• Track pending enquiries, quotations and orders and follow up with the concerned sales team.
• Prepare reports on outstanding orders, dispatches, collections and receivables.

Payment & Collection Coordination

• Coordinate with the Finance/Accounts team regarding customer outstanding balances.
• Follow up with customers and dealers for payment commitments as directed by the sales team.
• Maintain collection follow-up records and provide regular updates to the concerned sales managers.
• Coordinate with Finance for payment reconciliation and invoice-related queries.

Technical & Project Support

• Coordinate with the Technical/QC/R&D teams for customer requirements, product samples and technical documentation.
• Assist the sales team in arranging TDS, MSDS, product literature, test certificates and other technical documents as required.
• Maintain records of project enquiries, samples, trials and customer follow-ups.
• Coordinate with the sales and technical teams for product trials and customer complaints.
• Track the status of customer complaints and ensure timely follow-up until closure.

ERP / CRM & Documentation

• Update customer details, enquiries, quotations, orders and sales activities in the ERP/CRM system.
• Maintain accurate and up-to-date sales records.
• Ensure proper filing of purchase orders, quotations, invoices, delivery documents and other sales-related documents.
• Maintain customer and dealer databases and ensure data accuracy.
• Hands-on experience with Odoo ERP/CRM will be an added advantage.

Internal Coordination

• Coordinate with Sales, Finance, Accounts, Warehouse, Logistics, Production, QC/R&D and Technical Service teams for smooth sales operations.
• Ensure timely communication of customer requirements to the relevant internal departments.
• Support the sales team in resolving order, delivery, documentation and payment-related issues.

Candidate Profile

• Graduate in any discipline; preferably with a background in Commerce, Business Administration, Sales, Marketing or a technical field.
• 3-6 years experience in Sales Coordination, Sales Operations, Order Management or a similar role.
• Experience in Construction Chemicals, Building Materials, Cement, RMC, Paints, Waterproofing, Adhesives or related B2B industries will be preferred.
• Good understanding of the sales order-to-delivery process.
• Experience in preparing sales MIS and maintaining sales trackers.
• Good coordination and follow-up skills.
• Strong communication and interpersonal skills.
• Good working knowledge of MS Excel, MS Office and ERP/CRM systems.
• Knowledge or hands-on experience with Odoo ERP/CRM is an added advantage.
• Ability to coordinate with multiple departments and manage multiple activities simultaneously.
• Should be detail-oriented, organized and proactive.
