Rights and Permissions Specialist

We are seeking a detail-oriented and proactive Rights and Permissions Specialist to manage the end-to-end clearance process for diverse multimedia assets. In this role, you will be responsible for securing necessary legal rights to use third-party text, images, audio, and video content across our projects. The ideal candidate will possess a strong understanding of copyright law, excellent negotiation skills, and the ability to track and manage complex licensing data efficiently.

Key Responsibilities

• Multimedia Permissions Clearance: Manage the complete clearance lifecycle for a high volume of third-party assets, specifically covering Text, Image, Audio, and Video content.
  
• Rights Holder Research: Conduct thorough research to identify and locate legitimate copyright holders, agencies, estates, or legal representatives for desired assets.
  
• Outreach & Documentation: Initiate contact and send formal permissions request forms to rights holders utilizing their preferred communication modes (e.g., email, licensing portals, direct mail, or phone).
  
• Fee & Rights Negotiation: Advocate for the companys best interests by negotiating favorable licensing fees that align with project budgets. Negotiate specific usage rights (including territory, term, and format) to ensure all project requirements are legally covered.
  
• License Review: Carefully review and analyze incoming licensing agreements, contracts, and terms of use to ensure they accurately reflect the negotiated rights and expose the company to minimal legal risk.
  
• Data Management & Tracking: Meticulously update and maintain accurate rights information, clearance statuses, restrictions, and financial tracking within internal spreadsheets and online rights management systems.
  

Qualifications & Skills

• Experience: Prior experience in rights clearance, copyright licensing, legal affairs, or a related role within publishing, media, or production.
  
• Copyright Knowledge: Solid understanding of global copyright principles, fair use/fair dealing guidelines, and public domain classifications across text, visual, and audio mediums.
• Negotiation Skills: Proven ability to tactfully negotiate fees and contractual terms with stock agencies, independent creators, and large publishing houses or record labels.
• Detail-Oriented: Exceptional organizational skills with a meticulous approach to reviewing legal language and tracking high volumes of data.
  
• Technical Proficiency: Strong proficiency in Microsoft Excel/Google Sheets, database management, and adapting to proprietary online rights management systems.
  
• Communication: Excellent written and verbal communication skills, with a professional and persistent approach to outreach and follow-up.
