Receiving Executive

Job Purpose

The incumbent is responsible for accurate receipt, inspection, documentation, compliance verification and controlled transfer of all materials received at Jio World Centre. The role ensures complete receiving accuracy, record integrity, FSSAI compliance, inventory traceability and effective coordination with Stores, Kitchens and user departments.

Job Accountabilities

Receiving Operations & Accuracy

• Verify all deliveries against approved POs, invoices, and delivery challans.
• Inspect quantity, quality, packaging condition, batch details, and shelf life prior to acceptance.
• Ensure only compliant materials are accepted and promptly escalate any discrepancies.
• Monitor receiving accuracy and minimise inventory variances arising from receiving activities.

Documentation & Records Management

• Generate accurate Goods Receipt Notes (GRNs) for all receipts.
• Maintain complete receiving records, supplier documentation, rejection records, and temperature logs.
• Ensure timely ERP entries and end-to-end traceability of received products.
• Support audits, stock verification, and inventory reconciliation activities.

FSSAI Food Safety & Regulatory Compliance

• Verify FSSAI licence details of food suppliers, wherever applicable.
• Ensure compliance of product labelling, including ingredient declarations, allergen information, batch numbers, manufacturing, and expiry dates.
• Verify that food products are sourced from approved vendors and supported by applicable statutory certifications.
• Maintain cold-chain records and temperature logs for perishable products at the time of receipt.
• Reject expired, damaged, mislabelled, or otherwise non-compliant food products.
• Ensure compliance to FSSAI, HACCP, hygiene, and food safety requirements.
• Maintain complete traceability records to support food recalls, audits and regulatory inspections.
• Coordinate sampling, documentation and corrective actions arising from food safety observations.

Stakeholder Coordination

• Coordinate with Procurement, Stores, Kitchen, Housekeeping, Engineering, and Events teams to ensure smooth receiving operations.
• Liaise with suppliers to resolve shortages, damages, replacements, and quality-related issues.
• Ensure timely movement of received materials from the receiving area to storage or respective end-user departments

Inventory Control & Governance

• Identify and report shortages, overages, damages, and quality deviations at the time of receipt.
• Support physical inventory counts, cycle counts, stock verification, and audit activities
• Ensure adherence to defined SOPs, safety standards, receiving controls, and inventory management practices

Skills

• Strong understanding of receiving operations, material verification, inventory control, and reconciliation processes.
• Good knowledge of FSSAI, HACCP, food safety, hygiene, and regulatory requirements.
• Proficiency in ERP/inventory management systems and receiving documentation.
• Strong vendor and stakeholder coordination skills with the ability to resolve discrepancies and quality issues.
• Strong attention to detail with a high degree of ownership, accuracy, and adherence to SOPs
• Good communication, coordination, and problem-solving skills with the ability to work in a fast-paced operational environment

Qualifications

• Bachelors Degree/Diploma in Hotel Management, Hospitality, Commerce, Supply Chain Management, or a related discipline

Experience

• 4+ years of experience in receiving, stores or inventory operations preferably within hospitality, hotels, convention centres, or large integrated facilities
