    About this role

Here is a comprehensive breakdown of the Roles and Responsibilities for a Purchase Manager in M/s. Somayaji Estates (P) Ltd., Mangalore

Job Title: Purchase Manager (Real Estate)

    Primary Objective

To manage, streamline, and oversee the end-to-end procurement process across 23 active project sites, ensuring high-quality building materials are procured cost-effectively, inventoried properly, and delivered on schedule without disrupting site operations.

    Key Responsibilities & Operational Workflow

    1. Daily Operations & Site Coordination

    • Morning Site Alignment: Contact site engineers/in-charges across all active sites daily before 9:30 AM to assess immediate material requirements, stock status, and urgent site needs.
    • Procurement Planning: Draft and align daily procurement and dispatch plans based on site priorities to ensure uninterrupted construction progress.
    • Delivery Follow-up: Continuously track suppliers and logistics partners to ensure timely dispatch and on-site delivery of ordered materials.

    2. Vendor Management & Development

    • Vendor Network Expansion: Identify, evaluate, and onboard new vendors, manufacturers, and suppliers across different material categories to ensure competitive pricing and backup supply sources.
    • Supplier Relationship Management: Maintain strong relationships with existing suppliers to secure favorable trade terms, credit periods, and priority delivery schedules.
    • Performance Evaluation: Regularly assess vendors based on quality, pricing, delivery timeliness, and service reliability.

    3. Material Technical Knowledge & Market Intelligence

    • Material Understanding: Demonstrate strong domain knowledge of building materials (e.g., cement, steel, aggregates, tiles, plumbing, electrical, timber, and finishing materials) and their technical specifications.
    • Market Tracking: Keep track of market trends, price fluctuations (especially volatile items like steel and cement), and seasonal availability to optimize buying decisions.

    4. Sourcing, Quotations & Comparative Analysis

    • Requirement Gathering: Receive and verify Purchase Requisitions (PR) from site engineers.
    • Quotation Sourcing: Invite and obtain competitive quotations from multiple qualified vendors for required materials.
    • Comparative Statements: Prepare detailed Price Comparative Statements (CS) evaluating total cost (base price, taxes, freight, loading/unloading, credit terms, and delivery timeline).
    • Management Approval: Present comparative statements and vendor recommendations to senior management/management committee for formal approval prior to issuing Purchase Orders (PO).

    5. Inventory Planning & Control

    • Stock Optimization: Maintain optimal inventory levels across sites to prevent both stock-outs (which halt work) and over-stocking (which ties up working capital and causes wastage/damage).
    • Inter-Site Transfer: Coordinate the movement or balancing of surplus materials between the 2–3 sites whenever cost-effective and feasible.
    • Wastage Reduction: Work with site teams to minimize material damage, pilferage, and wastage during transit and storage.

    6. Billing, Documentation & Coordination with Head Office

    • Invoice Verification: Ensure site engineers properly receive, verify, and stamp/sign physical Material Receipt Notes (MRN) and vendor bills/invoices upon delivery.
    • Bill Processing: Collect duly signed bills along with supporting documents (POs, delivery challans, weighbridge slips) from project sites and submit them systematically to the Head Office Accounts department for timely payment processing.
    • Record Keeping: Maintain neat digital and physical records of purchase requisitions, quotations, comparative statements, POs, and vendor contracts.

    Key Performance Indicators (KPIs)

    • Delivery Timeliness: % of materials delivered on or before the site target date.
    • Cost Savings: Percentage of savings achieved through effective vendor negotiation and comparative sourcing.
    • Site Downtime: Zero construction downtime due to material stock-outs.
    • Billing Accuracy & Speed: Timely submission of error-free, verified site bills to the Head Office.Role & responsibilities
