Purchase Executive

Role & responsibilities

The Purchase Executive is responsible for sourcing, negotiating, and procuring materials, components, or finished goods from international suppliers, while ensuring compliance with import regulations, cost efficiency, and timely delivery.

Key Responsibilities

• Identify and evaluate Forwarder, rate negotiation and finalization
• Prepare and process purchase orders (POs) for import shipments
• Negotiate pricing, payment terms (LC, TT, etc.), and delivery schedules with foreign suppliers
• Coordinate with freight forwarders, customs house agents (CHA), and shipping lines for smooth logistics
• Track shipment status and ensure timely clearance through customs
• Manage documentation: check list, Commercial Invoice, Packing List, Certificate of Origin, Bill of Entry, etc. Bank transaction knock off.
• Ensure compliance with import-export policies, DGFT regulations, and customs duties/tariffs
• Monitor inventory levels and plan import purchases based on production/sales forecasts
• Resolve discrepancies related to quality, quantity, or delayed shipments
• Maintain vendor records, contracts, and price comparison data
• Liaise with internal departments (QC, stores, production) for material requirements
