PSIPL - Operations Manager - Facility Management

Position & Functional Goals:

- Meeting all Service Level Agreements (SLA).

- To Ensure the Client Service Satisfaction Level.

- Meeting all statuary & regulatory requirements at site.

- Liaisoning with client, officials & Govt. bodies to perform PSIPL services at site.

Duties & Responsibilities:

- Ensure that all the services provided by PSIPL (i.e. M&E & Soft Services) are running smoothly to the entire satisfaction of the Client & PSIPL.

- Attendance & Leave Management of all staff under PSIPL.

- Send monthly-verified attendance-statement to PSIPL-HO for salary processing of staff.

- Follow monthly billing process & send all bills to HO as specified.

- Ensure effective material management.

- Reduce down time of equipments.

- Obtain quotations from vendors and prepare comparative statements & get approval of work from client / PSIPL.

- Vendor Management, processing of their bills for payments.

- Update & monitor maintenance schedule, timely completion of routine maintenance (Daily, Weekly), PSIPL Asset management, and tracking of AMCs, if any.

- Liaison and co-ordinate with the supervisors of all departments to get the work done as per requirements and ensure that timely execution of assigned task.

- Direct all the supervisors to ensure that their work place, respective machinery, equipments, uniforms of all personnel, stores etc. are neat and clean with good hygiene at any given time.

- Checking of the tool inventory of mechanical & electrical departments by monitoring regularly and at random.

- To ensure that all the requirements (as per agreement) of clients / occupants / end users are fulfilled on day to day basis.

- Ensure that prior to shut down of any kind of facility (i.e. power interruption water supply, lifts, fire system, civil repairs etc.) occupier / client are intimated well in advance for their consent / approval.

- Ensure that departmental circular / instructions / various policy letters etc. issued by Client / PSIPL HO is followed strictly by concerning staff.

- To ensure that all the personnel of all departments are familiar with the building layout plans, Area and Floor along with firefighting and sprinkler systems, apart from their respective departments.

- Ensure that work permits to all the contractors/ vendors are issued by the concerning department Head. Simultaneously ensuring keys are issued to them of respective work area through proper channel by making entry in key registers.

- Ensure smooth running of club house operations.

- Maintain & ensure discipline, high morale of staff working under him by looking after their welfare.

- Keep Operations Manager up dated by giving feed backs on all above points for smooth running of site / facility.

- Ensure all House Keepings Equipments are functional, as well as utilization of the same in respective areas.

- Prepare & Send Daily / Weekly / Monthly reports (MMR) to client / HO.

- Ensure adherence to Safety and Environmental aspects of Team and Self.

- All other work as assigned by Operations Manager and client.

- Demonstrate experience with client reporting and preparation & forwarding MIS as required.
