Job Description – Associates – Procurement & Supply Chain

Role Purpose

To support end-to-end procurement and supply chain activities, ensuring timely material availability, effective supplier coordination, efficient inbound and outbound logistics, inventory control, accurate system transactions, commercial compliance, and smooth coordination with internal stakeholders.

1. Procurement & Supplier Coordination

• Share raw material forecasts and open PO requirements with suppliers.
• Follow up with suppliers on material availability, production status and dispatch commitments.
• Coordinate priority supplies for critical and production-sensitive materials.
• Support Procurement in obtaining quotations, commercial information and supplier responses.
• Follow up with suppliers for implementation of approved price revisions and commercial changes.
• Maintain effective coordination between Procurement, suppliers, planning, warehouse and other stakeholders.

2. Purchase Order & SAP Activities

• Support timely release and follow-up of Purchase Orders for raw materials and other assigned requirements.
• Monitor open PR/PO status and coordinate closure of pending purchasing activities.
• Maintain accurate purchasing information in SAP within the assigned area of responsibility.
• Coordinate approved price revisions with suppliers and relevant internal teams.
• Follow up on PO acknowledgements and supplier delivery commitments.
• Completely assigned procurement work-cycle activities within defined timelines.

3. Transportation Module – Inbound & Outbound Logistics

• Handle and regularly update the Transportation Module for assigned inbound and outbound shipments.
• Follow up with transporters for vehicle placement, pickup, dispatch and delivery status.
• Track material movement and ETA and communicate delays or critical issues to relevant stakeholders.
• Coordinate transportation for EXW supplier locations.
• Coordinate tanker requirements based on planned requirements and material availability.
• Follow up on freight-related documentation and transportation documentation.
• Support freight and logistics cost visibility by maintaining relevant transportation information.

4. Inventory Planning & Material Availability

• Monitor inventory and material coverage to support uninterrupted production.
• Update raw material coverage and stock-position reports.
• Review forecast, stock, consumption trends and incoming supplies.
• Coordinate with suppliers and internal teams to minimize material shortages.
• Identify critical materials requiring expedited supply or transportation.
• Support control of excess and slow-moving inventory through improved visibility and coordination.

5. Commercial Understanding & Cost Control

• Develop a working understanding of purchase price, freight, taxes, payment terms, Incoterms and other key commercial conditions relevant to procurement and logistics.
• Review supplier quotations and commercial details for completeness before further processing.
• Understand the commercial impact of different transportation and supply options.
• Support Procurement with basic price comparison and commercial evaluation.
• Verify commercial information against approved PO/contract conditions before coordination with relevant stakeholders.
• Support resolution of invoices, freight, credit-note and commercial discrepancies.
• Maintain relevant commercial records and supporting documentation.
• Identify and highlight potential opportunities for cost optimization to Procurement.

6. Warehouse, GRN & Quality Coordination

• Coordinate priority unloading critical materials with the warehouse.
• Follow up for timely GRN completion for critical receipts.
• Coordinate with Quality for QC clearance of critical materials.
• Follow up on quantity, documentation or delivery discrepancies.
• Coordinate corrective follow-up with suppliers where required.

7. Documentation & Compliance

• Maintain documentation related to GRN, invoices, credit notes and delivery discrepancies.
• Obtain required MSDS/SDS, COA, TDS and other supplier documentation.
• Coordinate with Quality, Technical and other functions for documentation requirements.
• Maintain procurement and logistics records in an audit-ready manner.
• Support supplier documentation and procurement compliance activities.

8. Sample Raw Material Coordination

• Coordinate suppliers for sample raw material requirements.
• Follow up for timely dispatch and delivery.
• Ensure availability of documentation required for sample clearance.
• Track shipment/ETA details and update the requestor.
• Coordinate internally for receipt and further processing of sample materials.

9. MIS, KPI & Reporting

• Maintain procurement, inventory and transportation trackers.
• Track open POs, critical raw materials, pending deliveries and logistics status.
• Prepare periodic reports on material availability and supply-chain exceptions.
• Support monitoring of supplier delivery performance.
• Maintain visibility of urgent/critical shipments and escalate exceptions appropriately.
• Support Procurement and Supply Chain with data required for reviews and decision-making.
