Process & Quality Lead UK Accounting Operations

    Position details

    • Company: Ratiobox India Private Limited
    • Job title: Process & Quality Lead UK Accounting Operations
    • Department: Finance & Accounting Operations
    • Industry: UK Accounting, Bookkeeping & Finance Outsourcing
    • Employment type: Full-time, Permanent
    • Location: Nehru Place, New Delhi
    • Work mode: Work from Office
    • Reports to: Operations Manager / Senior Management
    • Team responsibility: UK bookkeeping and accounting operations team

    Role purpose

The Process & Quality Lead is responsible for improving the accuracy, consistency, productivity and overall work quality of the UK accounting operations team.
This is a hands-on leadership role combining practical knowledge of UK bookkeeping with team coaching, work review, process oversight and continuous improvement. The Lead will establish clear standards, monitor whether processes are working effectively, identify the causes of recurring errors or delays, and ensure improvements are implemented and sustained.
The role applies Total Quality Management (TQM) principles by making quality a shared, ongoing responsibility across the team. It is not limited to creating process flows or documentation: the successful candidate will continually assess results, identify further opportunities to improve, implement appropriate changes and check that those changes deliver lasting benefits.
The candidate should have practical familiarity with accounting software used by the team. The role does not require them to be a software specialist, but they must be comfortable navigating relevant systems and supporting colleagues in following established workflows.

    Key responsibilities

    1. Quality management and continuous improvement

    • Embed a Total Quality Management mindset in day-to-day work, promoting shared responsibility for accurate, complete and timely deliverables.
    • Define and maintain clear quality standards, review controls, checklists and working practices for UK accounting processes.
    • Develop and document workflows and standard operating procedures where needed, ensuring they are practical, understood and followed.
    • Regularly assess whether processes and controls are working effectively in practice, not simply whether they have been documented or introduced.
    • Identify improvement opportunities through work reviews, error and rework trends, turnaround times, operational data and team feedback.
    • Investigate root causes of recurring errors, delays, rework and inefficiencies.
    • Agree and oversee corrective and preventive actions, assigning responsibility and following them through to completion.
    • Reassess implemented changes to confirm they deliver the intended results, are consistently followed and do not create new issues.
    • Continually seek opportunities to improve accuracy, efficiency, productivity, client service and team capability.
    • Encourage team members to raise issues and suggest practical improvements to processes and working practices.
    • Promote a culture of learning and incremental improvement rather than relying only on occasional process redesign.
    • 2. Team performance and development

    • Set clear expectations for work quality, productivity, turnaround times, accountability, ownership and professional conduct.
    • Monitor individual and team performance, identify capability gaps and agree appropriate support or improvement actions.
    • Coach team members to improve technical understanding, accuracy, efficiency, self-review and professional communication.
    • Review team members work and provide timely, specific and constructive feedback.
    • Address recurring errors, incomplete work, missed deadlines and lack of ownership directly, fairly and professionally.
    • Follow up on feedback and agreed actions to confirm that improvements are made and sustained.
    • Maintain consistent expectations across the team, irrespective of seniority, experience or personal relationships.
    • Handle resistance to feedback, disagreements and workplace conduct concerns calmly and objectively.
    • Record recurring performance issues and improvement actions, escalating persistent or serious matters in accordance with company procedures.
    • Promote a respectful, accountable and improvement-focused team environment.
    • 3. UK accounting operations and work review
    • Review the quality and timeliness of day-to-day UK bookkeeping and accounting work in our India office.
    • Oversee or review ledger maintenance, financial data entry and nominal coding.
    • Review accounts payable activities, including invoice and expense processing, supporting documentation and payment preparation.
    • Oversee or review Dext and Hubdoc workflows where these tools are used.
    • Review bank, company card and supplier reconciliations, and ensure discrepancies are investigated and resolved.
    • Monitor outstanding reconciliation items, queries, missing information and pending approvals.
    • Ensure work is completed in accordance with established procedures, client requirements and internal quality standards.
    • Support appropriate record-keeping and organization of accounting documents.
    • Escalate material accounting issues, delivery risks and unresolved matters to the appropriate manager.
    • 4. Workload, delivery and operational oversight

    • Monitor workloads, task allocation, pending activities and turnaround times.
    • Help ensure tasks are allocated in line with team capacity, individual capability and business priorities.
    • Identify bottlenecks and operational risks that may affect quality or timely delivery.
    • Coordinate with team members and stakeholders to resolve operational issues and prevent avoidable delays.
    • Maintain or oversee trackers for work completion, errors, reconciliations, outstanding items and improvement actions.
    • Provide management with clear, timely updates on work quality, productivity, risks and progress against improvement plans.

    5. Software and systems familiarity

    • Navigate the accounting and document-management software used by the team, such as Xero, QuickBooks, Sage, Dext and Hubdoc.
    • Also navigate the ERP Systems, such as SAP, Business central, Oracle etc.
    • Understand how these systems support routine bookkeeping workflows, reviews and supporting documentation.
    • Help team members follow established system workflows and use available features appropriately.
    • Identify software-related training needs or process issues and coordinate their resolution with the relevant stakeholders.
    • Maintain an appropriate level of working knowledge as the company's tools and processes evolve.
    • 6. Client and internal stakeholder coordination
    • Coordinate with Ratiobox UK & India account managers and relevant colleagues on daily accounting activities and client requirements.
    • Ensure queries, discrepancies, missing documents and pending approvals are followed up promptly.
    • Communicate operational issues and delivery risks clearly to relevant stakeholders.
    • Maintain professional written and verbal communication in English.
    • Ensure appropriate email management, record-keeping and document filing within the team.
    • Escalate significant or unresolved client and operational matters to the appropriate management personnel.

    • Experience reviewing accounting work, supervising colleagues, leading a team or supporting accounting operations.
    • Practical understanding of UK bookkeeping, ledger posting, nominal coding, accounts payable and bank and supplier reconciliations.
    • Familiarity with Dext and/or Hubdoc is an advantage.
    • Experience with process improvement, quality checking or operational controls is preferred.
    • Excellent spoken and written English.
    • Strong attention to detail, organization and follow-through.
