Preconstruction Coordinator

ABOUT THE ROLE

F5 Global Talent is hiring an experienced Preconstruction Coordinator to support a U.S. general contractor and take ownership of bid coordination, subcontractor follow-up, and project documentation.

You'll maintain the bid calendar, organize plans and specifications, prepare and distribute subcontractor RFQ packages, track responses, and follow up persistently until missing pricing is received.

You'll also maintain live project trackers covering deadlines, open issues, RFIs, submittals, change orders, invoice backup, punch lists, and closeout documents.

This is a broad construction coordination role — not a deep estimating position. What matters most is organization, relentless follow-up, accurate document control, and the ability to build systems that keep projects moving.

This is a full-time, remote role working U.S. Eastern Time business hours.

IMPORTANT: This role requires 3+ years of hands-on experience in construction coordination, preconstruction, project administration, document control, or a similar construction support role. Strong spoken and written English is required because you'll communicate directly with a U.S. business owner, subcontractors, vendors, and agencies.

WHAT YOU'LL DO

• Maintain bid calendars, bid folders, plans, specifications, and addenda

• Prepare and distribute subcontractor RFQ packages

• Track subcontractor responses and follow up on missing pricing until it is received

• Build bid tabs and scope comparisons for owner review

• Maintain live project trackers covering deadlines, open issues, and follow-ups

• Track RFIs, submittals, and change orders

• Maintain invoice backup, punch lists, and closeout documentation

• Coordinate with subcontractors, vendors, superintendents, agencies, and internal teams

• Support light bookkeeping and payroll processing

• Create SOPs, checklists, and procedures so recurring work is documented and repeatable

WHAT WE'RE LOOKING FOR

• 3+ years of construction coordination, preconstruction, project administration, document control, or construction project-assistant experience

• Experience working with construction plans, specifications, addenda, and bid documents

• Strong subcontractor and vendor follow-up skills

• Experience coordinating RFQs, bids, or preconstruction documentation

• Strong Excel skills, including building and maintaining your own trackers

• Excellent organization and document-control skills

• Ability to manage multiple active projects and deadlines at once

• Strong written and spoken English

• High level of ownership and follow-through

• Ability to work independently without constant supervision

• Comfortable handling confidential financial and payroll information

• Availability to work U.S. Eastern Time business hours long term

• Willingness to complete background verification before starting

NICE TO HAVE

• Experience supporting U.S. general contractors

• QuickBooks or ADP experience

• Bluebeam Revu, PlanSwift, or Procore experience

• Experience creating SOPs, checklists, or standardized workflows
