Planning Lead - Solar EPC

Job Description:

The Planning & Billing Team Lead is responsible for overseeing project scheduling, monitoring construction progress, managing billing processes, and ensuring effective communication between clients, contractors, and internal teams. The role involves preparing detailed project reports, developing recovery strategies for delays, and ensuring compliance with contractual and quality requirements while maintaining accurate documentation for all project activities

Key Responsibilities:

Project Planning & Scheduling

• Monitor and track contractors construction programs to ensure alignment with project timelines.
• Prepare weekly and monthly work programs, three-month look-ahead schedules, and recovery plans for delayed activities.
• Develop execution strategies, perform plan vs actual analysis, and update schedules weekly using tools such as S-Curves, Resource Curves, and variance reports.

Progress Monitoring & Reporting

• Track daily work progress and prepare detailed progress reports.
• Coordinate with site engineers and contractors for timely updates.
• Conduct plan vs actual comparisons every weekend and implement corrective measures.

Billing & Cost Management

• Review and process contractors monthly running bills in accordance with Service Orders and Bill of Quantities (BOQ).
• Raise monthly payment milestones, follow up with clients, and manage reconciliation and royalty billing.
• Prepare material consumption reports and monitor adherence to project budgets and schedules.

Documentation & Quality Control

• Maintain all project documentation in line with the Project Quality Plan (PQP).
• Manage the Master Drawing List (MDL), engineering change control (ECC) records, punchlists, and method statements for site works.
• Control and track project documents across all departments.

Resource & Manpower Planning

• Prepare daily manpower reports, manpower histograms, and resource leveling plans.
• Allocate tasks to discipline engineers and monitor daily job progress.

Client, Contractor & Vendor Coordination

• Maintain daily correspondence with clients, contractors, and the Head Office.
• Conduct meetings with clients, subcontractors, and vendors to address constructability, punch points, and site-related issues.
• Ensure smooth coordination for project execution and timely resolution of issues

Project Completion & Certification

• Monitor activities for obtaining Erection Completion Certificates (ECC).
• Prepare and distribute Minutes of Meeting (MOM) and follow up on closure of project punch points.
