Roles and Responsibilities

Pre-Closure Payroll:

• Track Full and Final (F&F) process initiation every two days and coordinate with Unit HR teams to follow up on pending initiations.
• Prepare and validate consolidated F&F settlement workings and approve F&F initiations in TalentOrbit.
• Process the Settlements as per the Company policies and analyze gaps, coordinate necessary updates with the units.
• Verify and analysis abscond process, coordinate necessary updates with the units.
• Track and verify notice-period waiver approvals, short-notice recoveries, advance notice-period payments, and employee self-declarations towards tax exemptions.
• Share draft F&F settlement registers, including bonus workings, with Unit HR teams for confirmation; obtain the required approvals and submit the final settlement register to the Reporting Manager.
• Ensure F&F settlements are completed within two days, subject to receipt of complete inputs and approvals.
• Verify and correct EWPA workings in coordination with Unit HR teams, obtain confirmation, and submit the final payable report to the Reporting Manager.
• Verify that all mandatory new-joiner documents are available in TalentOrbit and share the consolidated compliance-status report with Unit HR teams and the Reporting Manager.
• Verify bank-account proofs for new joiners and share the consolidated validation report with Unit HR teams and the Reporting Manager.
• Complete and share the payroll checklist verification with the Reporting Manager.

Post-Closure Payroll:

• Provide F&F payslips to the respective units after settlement processing.
• Validate EPS eligibility by checking employee declarations against EPF passbook details, and complete UAN registrations in the PF portal.
• Prepare and validate ESIC return data, submit returns through the ESIC portal, generate challans, and provide a consolidated returns-and-challans statement to the RM.
• Upload PF and UAN numbers in TalentOrbit and share the final list with the respective units.
• Prepare and share e-nomination and face-authentication dashboards with the units.
• New joinees documentation verification and validation by preparing employee wise observations.
• Schedule HR Process Review meeting; prepare presentations and supporting reports, prepare and circulate minutes of meeting (MOM), and share observations with the respective units.
• Check applicable minimum wage notifications and update the Reporting Manager on relevant changes.
• Prepare and share an exit-interview analysis dashboard and an F&F settlement-completion status dashboard with the Reporting Manager.
• Track ESIC UAN seeding and employee mobile-number and email-ID updates, share pending-status updates with Unit HR teams, and follow up for completion.
• Handle HRIS tickets, coordinate with the HRIS vendor for resolution, and support Unit HR teams in using HRIS modules.
• Review ESIC interest, damages and notices during the applicable review periods (July and January), and coordinate follow-up actions as required.
• Support employees with EPF/ESIC claims and KYC updates, coordinating with the relevant teams and authorities as needed.
• Prepare and provide data and reports requested by the Senior Manager and AGM.
• Provide cross-functional support and handle critical activities during team members absence to ensure continuity of operations.
