About this role
We're looking for a Senior Paralegal who thrives on ownership. You'll manage your own caseload from instruction to settlement, communicate directly with clients, agents, and other firms' solicitors, and use good judgement to work through problems as they come up. We'd love someone who can settle in quickly and start contributing early, drawing on experience they've already built elsewhere.
This is a fast-paced, high-autonomy role with limited day-to-day supervision and no extended training period. It's best suited to someone who has already run their own caseload independently in a demanding environment and is comfortable working that way.
Key Responsibilities
- Independently manage a caseload of conveyancing and commercial matters from instruction to settlement, with minimal supervision
- Prepare contracts, settlement statements, PEXA workspaces, and duty lodgements accurately and on time
- Communicate directly with clients by phone and email explaining next steps, chasing documents, managing expectations, and keeping files moving
- Liaise professionally with agents, banks, and opposing solicitors to resolve issues as they arise
- Identify potential issues early and bring solutions, not just questions, to the Director
- Maintain meticulous attention to detail across dates, figures, and compliance requirements (AML/CTF, trust accounting basics)
- Use and adapt quickly to firm software and systems
- Track and manage critical dates, limitation periods, and settlement deadlines across all active files, flagging any at risk well in advance
- Draft routine client and third-party correspondence for review or direct sending, depending on the matter
- Keep matter management systems and file records accurate, complete, and audit-ready at all times
- Handle sensitive client, financial, and identification information with strict confidentiality and discretion
- Juggle multiple live files simultaneously, prioritising effectively when deadlines compete
- Work out the next required step on a file without being told, and action it including diarising or calendaring follow-up dates, reminders, and deadlines without prompting
- Follow up proactively with clients, agents, and other solicitors when a response is overdue, rather than waiting for the Director to notice and chase it
- Keep a running view of where every file stands and what's due next, so nothing sits idle waiting on someone else to notice
What We're Looking For
- Prior experience working in an international law firm required
- At least 1 years' experience independently managing your own caseload, not just supporting someone else's files required
- Comfortable getting up to speed quickly and contributing from early on
- Ideally with exposure to conveyancing, commercial property, or transactional work
- A track record of managing matters independently, not just executing tasks
- Excellent written and spoken English, with confidence handling direct client calls and correspondence
- Strong technology skills comfortable in triConvey, PEXA, or similar practice management/settlement platforms (or a fast learner if not)
- Sharp attention to detail and genuine pride in accuracy
- Good judgement and initiative — someone who likes figuring things out
- Naturally proactive — someone who sets their own reminders, follows up before being asked, and keeps files moving forward on their own initiative
- Highly organised, deadline-driven, and calm under pressure
- Relevant qualification in law, paralegal studies, or equivalent practical experience
- Comfortable working hours that overlap with Australian business hours (AEST)
- Trustworthy with confidential financial and personal information
Growth & Career Path
This role is designed to grow. As the firm expands, we have a clear plan for you to build and lead your own small team of paralegal support under you, taking on a genuine team leadership position rather than staying an individual contributor indefinitely. You'll work directly with the Director from day one, with a real path toward greater seniority, responsibility, and remuneration as you prove yourself in the role.
To Apply
Send your resume along with a short note describing a matter you ran independently from start to finish, including a moment where something went wrong and you had to work it out yourself. This helps us understand your experience properly, so please make it specific rather than general.
