Outbound Operations Executive

Role & Responsibilities

• Handle end-to-end operations for international outbound holiday bookings after sales confirmation.
• Coordinate with hotels, DMCs, transport providers, activity suppliers and other travel partners for booking confirmations.
• Make and manage hotel, transfer, sightseeing, activity and other travel service bookings as per the confirmed itinerary.
• Coordinate with airlines, suppliers and partners for flight-related requirements and updates.
• Prepare and verify detailed itineraries, booking confirmations, hotel vouchers and travel documents.
• Ensure all bookings and services are confirmed accurately and within the required timelines.
• Coordinate with the sales team to understand customer requirements and ensure smooth handover from sales to operations.
• Communicate with customers regarding booking confirmations, vouchers, itinerary details and other travel-related requirements.
• Coordinate with DMCs and suppliers for any changes, amendments, cancellations or special requests.
• Monitor upcoming departures and ensure all travel arrangements are completed before the customer's departure.
• Handle last-minute changes and resolve operational issues quickly by coordinating with relevant suppliers and internal teams.
• Maintain accurate booking and customer information in the CRM and internal systems.
• Follow company processes and maintain proper documentation for every confirmed booking.
• Ensure a smooth and hassle-free travel experience for customers from booking confirmation until completion of the trip.

Preferred Candidate Profile

• 15 years of experience in Travel Operations / Outbound Travel Operations preferred.
• Experience with an outbound travel agency, tour operator, DMC or travel company will be preferred.
• Good knowledge of international holiday packages, hotels, transfers, sightseeing, activities and travel documentation.
• Experience in coordinating with DMCs, hotels and international travel suppliers.
• Good knowledge of destinations such as Japan, Europe, Dubai, Singapore, Thailand, Vietnam, Bali, Australia and other international destinations will be an advantage.
• Strong coordination, communication and problem-solving skills.
• Should be comfortable handling multiple bookings and managing deadlines simultaneously.
• Working knowledge of CRM, travel booking systems and MS Office/Excel is preferred.
• Attention to detail and ability to ensure error-free bookings and documentation.
• Candidates with strong experience in international outbound travel operations will be preferred.
