Order Management & Customer service Executive (Contractual role)

Position Summary (for Job Posting)-Contractual role

We are looking for a dynamic Customer Service & Order Management Executive with minimum 3-5 years of experience, preferably from the Medical Devices industry. The candidate will be responsible for order management, contract administration, SAP SD operations, customer master maintenance, credit/debit note processing, and customer account reconciliation. The ideal candidate should possess strong SAP SD knowledge, excellent Excel skills, effective communication abilities, and a proactive approach to customer service and operational excellence.

Key Responsibilities

1. Order Management

• Process and manage sales orders in SAP SD module.
• Ensure timely order entry, validation, processing, and fulfilment.
• Coordinate with Supply Chain, Logistics, and Sales teams for order execution.
• Monitor pending orders and proactively resolve bottlenecks.

2. Contract Management

• Create, maintain, and update customer contracts in SAP.
• Ensure contract compliance and correct pricing applicability.
• Track contract validity and support renewals/amendments.

3. Master Data Management

• Create and maintain customer master data, pricing records, material master data, and related information in SAP.
• Ensure accuracy and completeness of data in compliance with company policies.
• Perform regular master data reviews and validations.

4. Credit Note & Debit Note Processing

• Validate and process credit notes and debit notes within defined timelines.
• Coordinate with Finance, Sales, and customers for supporting documentation.
• Ensure proper accounting and documentation compliance.

5. Customer Account Reconciliation

• Understand customer ledgers and outstanding balances.
• Reconcile customer balances between customer records and company books.
• Investigate discrepancies and support timely resolution.

6. SAP & Reporting

• Utilize SAP SD and related modules effectively for daily operations.
• Generate reports and perform data analysis using Excel.
• Support process improvement initiatives through system and process optimization.

7. Cross-Functional Collaboration

• Liaise with Commercial, Finance, Warehouse, Logistics, Regulatory, and Sales teams.
• Take additional responsibilities as assigned by management.

Educational Qualifications

• Graduate/Postgraduate in Commerce, Business Administration, or related field.
• SAP SD knowledge/certification preferred.
• Advanced Excel skills preferred.

Technical Skills

• Strong working knowledge of SAP SD Module.
• Basic understanding of MM, FI, and other SAP modules.
• Good working knowledge of MS Excel (Pivot Tables, VLOOKUP/XLOOKUP, Reporting).
