Onboarding Specialist

Job Summary

We are looking for a detail-oriented and people-focused US-HR/Onboarding Specialist to support our HR operations across the United States. The ideal candidate will have strong hands-on experience managing the onboarding lifecycle for W2 employees, C2C contractors, and 1099 contractors, along with excellent employee relationship management skills.

The candidate will be responsible for ensuring a smooth onboarding experience, maintaining accurate employee and contractor records, coordinating with internal teams and external stakeholders, and addressing employee/contractor concerns in a timely and professional manner.

Key Responsibilities

• Manage the end-to-end onboarding process for W2 employees, C2C consultants, and 1099 contractors.
• Collect, verify, and maintain required onboarding documentation and employment records.
• Coordinate background checks, employment verification, I-9 documentation, tax forms, and other required onboarding activities.
• Ensure compliance with applicable US employment and onboarding requirements.
• Serve as the primary HR point of contact for employees and contractors during the onboarding process.
• Build and maintain strong relationships with employees, contractors, hiring managers, and internal stakeholders.
• Handle employee and contractor inquiries related to onboarding, HR policies, benefits, payroll coordination, documentation, and general HR matters.
• Proactively follow up with new hires and contractors to ensure a positive onboarding experience.
• Maintain accurate and up-to-date employee/contractor information in HRIS and other HR systems.
• Coordinate with recruiting, payroll, finance, IT, and management teams to ensure seamless onboarding and offboarding.
• Support employee engagement, retention, and relationship management initiatives.
• Assist with employee lifecycle activities, including transfers, status changes, extensions, and offboarding.
• Maintain confidentiality of employee and company information.
• Prepare HR reports, trackers, and documentation as required.
• Identify process gaps and recommend improvements to enhance the overall HR experience.

Required Skills & Qualifications

• Strong hands-on experience with US HR operations and onboarding.
• Proven experience onboarding W2, C2C, and 1099 contractors/consultants.
• Strong understanding of US employment documentation and onboarding processes.
• Excellent employee relationship management and interpersonal skills.
• Strong communication skills, both written and verbal.
• Ability to handle employee and contractor concerns with professionalism, empathy, and confidentiality.
• Strong organizational skills with excellent attention to detail.
• Ability to manage multiple onboarding processes and priorities simultaneously.
• Experience working with HRIS, ATS, payroll, or other HR systems.
• Strong follow-up and stakeholder management skills.
• Ability to work effectively with teams and stakeholders across US time zones.

Preferred Qualifications

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• Experience supporting US-based staffing, consulting, IT services, or professional services organizations.
• Knowledge of US HR compliance and employment practices is a plus.
