Job Summary

We are looking for an experienced Administration Manager to lead and oversee the general administration, facilities, and support-services functions across the organisation. The role is responsible for ensuring a safe, efficient, and well-managed work environment, driving cost efficiency, managing vendors and facilities, and providing administrative support to manufacturing, R&D, and corporate teams. The ideal candidate is a proactive leader with strong organisational, negotiation, and people-management skills.

Key Responsibilities

• Administration leadership: Plan, direct, and oversee all general administration activities across offices, plants, and facilities to ensure smooth day-to-day operations.
• Facilities & infrastructure: Manage upkeep utilities,housekeeping, security, cafeteria, and other support services.
• Vendor management: Identify, negotiate with, and manage vendors and service providers (AMC, housekeeping, security, pantry, courier, printing, etc.); oversee contracts, SLAs, and renewals.
• Budget & cost control: Prepare and control the administration budget; monitor and optimise admin expenses and drive cost-saving initiatives.
• Safety & compliance: Oversee security systems, access control, and safety protocols; ensure compliance with statutory, fire-safety, and workplace regulations.
• Logistics & Accomodation: Guest-house/accommodation, transportation, and logistics arrangements for employees and visitors.
• Procurement & assets: Handle procurement of office supplies, assets, furniture, and equipment; maintain the asset register and inventory.
• Space & projects: Coordinate space planning, seating, office expansions, renovations, and new-site setup projects.
• Team management: Lead, train, and supervise the administration team, housekeeping, drivers, and support staff; set KPIs and monitor performance.
• Reporting / MIS: Prepare MIS, reports, and dashboards on admin operations, costs, and vendor performance for senior management.
• Events & support: Support event management, official functions, audits, and visitor/guest arrangements as required.

Required Qualifications & Experience

• Bachelor's degree in any discipline; a Master's / MBA (Operations, HR, or General Management) is preferred.
• 10 to 15 years of experience in administration / facilities management, with at least 3 years in a managerial capacity.
• Experience in a manufacturing, pharmaceutical, medical-device, or comparable regulated industry is strongly preferred.
• Sound knowledge of facility management, vendor contracts, statutory compliance, and workplace safety norms.
