Logistics Manager

Role & responsibilities

To manage and optimize end-to-end logistics operations across diagnostic laboratories, collection centres, and hospital locations, ensuring the timely and safe transportation of patient samples, medical supplies, equipment, and other operational materials while maintaining sample integrity, regulatory compliance, and cost efficiency.

Key Responsibilities

A. Sample Transportation and Logistics

• Manage the daily transportation of diagnostic samples from collection centres, hospitals, and satellite laboratories to designated processing laboratories.
• Ensure timely sample pickup and delivery in accordance with defined turnaround times (TAT).
• Plan and optimize logistics routes to improve operational efficiency and reduce transportation costs.
• Coordinate with phlebotomists, collection centre teams, lab in-charges, and regional operations teams.
• Ensure proper sample packaging, labelling, handling, temperature control, and transportation as per established SOPs.
• Monitor delayed, missed, rejected, or compromised samples and implement corrective actions.

B. Compliance and Quality

• Ensure compliance with applicable healthcare transportation requirements and company SOPs.
• Maintain proper documentation for sample transportation, temperature monitoring, vehicle movement, and material transfers.
• Ensure adherence to applicable biosafety, biomedical waste, and infectious-material handling requirements.
• Support NABL assessments and internal quality audits by maintaining required logistics records.
• Report transportation incidents, sample leakage, temperature excursions, and other quality deviations promptly.

C. Team Management

• Manage and supervise logistics executives, runners, and outsourced personnel.
• Prepare staff rosters, allocate routes, monitor attendance, and ensure adequate manpower availability.
• Train team members on sample handling, safety, documentation, and service standards.
• Monitor team productivity and take corrective action for performance gaps.

D. MIS and Cost Control

• Prepare daily, weekly, and monthly logistics performance reports.
• Monitor logistics cost per sample, cost per route, fuel expenses, vendor costs, and delivery performance.
• Maintain records of sample pickups, delivery delays, route deviations, and transport utilization.
• Identify opportunities to reduce costs without compromising sample quality or turnaround time.
• Present performance reviews and improvement plans to management.
