Logistics Executive

Roles and Responsibilities :

• Manage logistics operations, including transportation planning, scheduling, and execution.
• Coordinate with vendors for FTL (Full Truck Load) shipments and manage vendor billing.
• Oversee partial truck load (PTL) operations and ensure timely delivery of goods.
• Utilize advanced Excel skills to analyze data and optimize logistics processes.

Job Requirements :

The role is responsible for ensuring accurate and timely processing of freight bills and payments, maintaining logistics cost governance, publishing monthly KPI and cost dashboards, and driving cost optimization through transporter MIS verification and data-driven insights. The role will work closely with transporters, Finance, Operations, and internal stakeholders to ensure strong financial controls and efficient logistics cost management.

Key Responsibilities1. Freight Billing & Payment Processing
• Process and submit 100% of freight bills within 5 days from the date of receipt.
• Ensure timely validation of freight bills against agreed rates, supporting documents, and transporter MIS.
• Maintain 100% payment accuracy and ensure zero erroneous payments.
• Identify and resolve billing discrepancies, rate mismatches, and payment-related issues with relevant stakeholders and transporters.
• Ensure proper documentation and adherence to defined financial and internal control processes.
2. KPI Dashboard & Reporting
• Prepare and publish an accurate monthly Logistics KPI Dashboard by the 10th of every month.
• Complete provisioning for the previous month by the 4th of every month.
• Ensure dashboards are accurate, complete, and free from data errors.
• Track key logistics and financial metrics and highlight performance gaps and improvement opportunities.
3. Logistics Cost Management
• Prepare and publish the monthly Cost Dashboard by the 15th of every month.
• Analyse logistics cost trends, cost drivers, and deviations against budget and targets.
• Monitor freight costs and identify opportunities for cost optimization.
• Support budgeting, forecasting, provisioning, and monthly cost reviews.
• Ensure financial discipline and timely closure of logistics-related financial activities.
4. Transporter MIS Verification & Cost Optimization
• Complete 100% monthly verification of PTL transporter MIS.
• Validate transporter data against operational records, agreed commercials, and billing information.
• Identify discrepancies and ensure timely resolution with transporters and internal stakeholders.
• Analyse cost trends and identify opportunities for cost reduction and process optimization.
• Support initiatives related to transporter cost optimization and improved freight utilization.
5. Vendor & Stakeholder Management
• Build and maintain effective working relationships with transporters and other external vendors.
• Coordinate with vendors to resolve billing, payment, service, and data-related discrepancies.
• Support discussions related to commercials, rates, service performance, and cost improvement opportunities.
• Collaborate closely with Finance, Logistics Operations, Supply Chain, and other cross-functional teams.
6. Process Improvement & Data Analysis
• Challenge existing processes and identify opportunities for simplification, automation, and improved controls.
• Use data and analytics to identify spend patterns, cost drivers, supplier performance trends, and operational gaps.
• Translate historical trends and financial data into actionable business insights.
• Support the development and improvement of dashboards, MIS reports, and automated reporting mechanisms.

• Experience in identifying and implementing cost-saving opportunities through improved utilization, cost control, and operational efficiencies.

• Ability to analyse historical trends and financial data and translate them into actionable insights.

Preferred Qualifications & Experience
• Graduate/Postgraduate degree in Supply Chain, Logistics, Finance, Operations, Business Administration, or a related field.
• Experience in freight billing, logistics finance, transportation cost management, or supply chain operations.
• Strong proficiency in MS Excel and data analysis.
• Experience with ERP systems such as SAP would be preferred.
• Experience in preparing MIS reports, dashboards, cost analysis, and vendor/transporter performance reports.
• Strong analytical skills with high attention to detail and accuracy.
