About this role
Job Title: Docketing & Litigation Manager (US Immigration Court Specialist)
Department: Litigation & Operations
Location: Remote (India Hub)
Shift Matrix: Evening/Night Shift (US Central Time Zone alignment)
Reports To: Managing Partner / Lead Litigation Attorney
Position Overview: We are a high-growth US Immigration Law firm seeking a highly analytical and process-driven Docketing & Litigation Manager to lead our court-calendar compliance and case-tracking operations. In this role, you will be the absolute baseline of defense against missed deadlines. You will oversee the end-to-end docketing lifestyle for all removal defense, asylum, Board of Immigration Appeals (BIA), and federal court filings.
The ideal candidate has exhaustive hands-on experience navigating the EOIR Courts and Appeals System (ECAS), calculating non-standard statutory timelines, and managing a team of specialists or coordinating directly with US-based trial attorneys.
Core Responsibilities & Job Duties1. EOIR & BIA Docket Management (Crucial Compliance)
- Calculate & Log Deadlines: Review, interpret, and accurately calculate complex legal deadlines from EOIR notices, BIA scheduling orders, and DHS filings. This includes calculating timeframes for Form EOIR-27, Notices of Appeal (Form EOIR-26), evidentiary submissions, individual hearings, and motion responses.
- ECAS Oversight: Monitor the automated EOIR Courts and Appeals System (ECAS) daily. Process electronic submission receipts, troubleshoot filing confirmation discrepancies, and audit digital court queues.
- BIA Mailbox Rule Compliance: Enforce absolute adherence to BIA receipt-date rules, ensuring all appellate filings are tracked to arrive physically or electronically before strict deadlines, neutralizing filing risks.
2. System Administration & Auditing
- IPMS / Practice Management Owner: Oversee the data integrity of our Immigration Practice Management System (e.g., INSZoom). Ensure every active litigation file has accurate, fully populated task dependencies.
- Quality Assurance Auditing: Run daily, weekly, and monthly docketing audit reports. Cross-reference automated system rules with official court dockets to catch discrepancies, resolving errors before they impact active cases.
- Disaster Recovery & Redundancy: Manage the firm's backup manual tracking mechanisms (e.g., shared Master Calendar protocols) to guarantee zero downtime or visibility losses.
3. Team Leadership & Cross-Functional Coordination
- Workflow Distribution: Supervise and assign tasks to paralegals (if applicable), serving as the primary escalation point for rule interpretation queries.
- Attorney Liaison Support: Actively coordinate with US-based trial attorneys. Provide daily "high-priority alert" briefs detailing upcoming Individual Hearings, Master Calendar hearings, and strict pleading deadlines.
- Standard Operating Procedure (SOP) Development: Design, document, and update internal firm SOPs regarding data entry standards, notice triage workflows, and digital archiving guidelines to scale alongside the growing practice.
Required Qualifications & Technical Skills
- Education: Bachelors degree in Law (LL.B.), Legal Studies, Business Administration, or equivalent corporate data/operations experience.
- Experience: Minimum of 3 years of experience in US legal data operations, with at least 2+ years explicitly focused on US Immigration Court (EOIR/BIA) docketing and litigation administration.
- Software Competency: Direct proficiency with ECAS (EOIR portal) and standard US case management tools (e.g., Docketwise, INSZoom, Filevine, Clio).
- Critical Thinking: Exceptional ability to interpret legal jargon and parse complex court orders to isolate exact filing requirements.
- Communication & Shift Work: Flawless written English communication skills. Absolute willingness and ability to work a fixed night shift or late afternoon mid-shift to ensure real-time coordination with US office hours.
