Jr. Officer / Jr. Executive - Export / Import Logistics @ Pharma -PUNE

Job description:

Roles & Responsibilities:

1.Export & Import Logistics Operations:

• Handle end-to-end export and import logistics of pharmaceutical products, including finished formulations, samples, and promotional materials, in compliance with regulatory standards.
• Manage logistics operations through Air and Sea shipments, ensuring cost-effective and timely movement of goods.
• Coordinate with freight forwarders, CHA agents, shipping lines, and airlines for smooth execution of shipments.

2.Documentation & Regulatory Compliance

• Prepare, review, and manage customs and EXIM documentation, including:Commercial Invoice,Packing List, Bill of Lading / Airway Bill, Certificate of Origin,Shipping Bills andRegulatory documents as per importing country requirements
• Ensure compliance with DGFT, Customs, ADC clearance, and other statutory authorities.
• Handle advance licensing, export incentives, duty drawback, and related compliance documentation.

3.Freight & Cost Management

• Negotiate freight rates with transporters, airlines, shipping lines, and freight forwarders to optimize logistics costs.
• Monitor logistics expenses and support cost control and budget adherence.

4. Shipment Planning & Dispatch

• Plan shipments based on production schedules, customer requirements, and delivery timelines.
• Coordinate with internal teams for dispatch planning, packing, labeling, and readiness of goods.
• Ensure accurate and timely dispatch of export and import consignments.

5.ADC Clearance & Shipment Tracking

• Handle ADC clearance and regulatory approvals required for pharmaceutical shipments.
• Track shipments from origin to destination and provide real-time updates to internal stakeholders and customers.
• Proactively address shipment delays, customs issues, or transit discrepancies to minimize impact on delivery schedules.

4.Coordination & Departmental Support

• Liaise with accounts, production, QA, regulatory, and sales teams for seamless logistics execution.
• Maintain accurate records and reports related to shipments, freight costs, and compliance.
• Perform all other operational activities of the Logistics Department as required to support business continuity.

Experience & Qualification:

• 3-6 years of hands-on experience in Export & Import Logistics, preferably in a pharmaceutical company.
• Strong exposure to Customs procedures, EXIM documentation, Advance licensing, Export incentives and compliance-related activities

Technical & Computer Skills:

• Proficient in MS Office (Excel, Word, Outlook) for documentation, reporting, and data tracking.
• Comfortable with email communication and internet-based logistics portals/systems.
