IT Procurement Executive

Job Description:

1. Checking & processing of Bills related to employees of Premises Infrastructure & Procurement.

2. Checking standard rate with agreement & processing of all centralized bills.

3. Continuous discussion with vendor for quotations.

4. Must co-ordinate with vendor for order & delivery of order.

5. Processing Advance Requisition Form (ARF) of Employee & Vendor.

6. To prepare Purchase Order (PO) as per material request.

7. Change Purchase order if Bill Amount is exceeding the Purchase Order Limits.

8. Follow up for Vendor payment & upkeep records.

9. Sound knowledge of Processes & it’s adherence in completion of tasks regarding Budget, Approvals, System work flow, Financial work flow, Category of Expenses.

10. Coordinating with Finance for Payments as well as resolution of Queries.

11. Coordinating with Vendor and Project Manager for Queries/Payments/Outstanding balance.

12. Providing timely (Weekly, Monthly, Quarterly & Yearly) MIS Report.

13. Ensuring Processes as per Audit compliance.

14. Ensuring timely Payments to Vendors. And taking new initiative for process evolution.

15. Part of a team responsible for Payment processing of almost 100+ vendors.

16. Invoice Acceptance & Verification as per Purchase order given to Vendor for Hardware, Software, AMC, Professional Services, Telecommunications Services, etc.

17. Verification of Hardware Approval received from Various Branches for PC , Printers , Laptops.

18. Preparation of Purchase Order according to the Quotations received from Vendors.

19. Co–ordination with various Vendors regarding the Products Procurement and its related Prices.

20. Preparation of Hardware/Software/Services Related Purchase Order as Discussed with the Project Managers.

Job Requirements :

• 0-5 years of experience in IT procurement or related field.
• Strong understanding of AM/C (Asset Management Configuration) systems.
• Proficiency in creating POs using various formats such as Excel or specialized software.
• Excellent communication skills with ability to work effectively with internal stakeholders.
