Inventory & Warehouse Executive (SAP B1)

Job Purpose

The Inventory & Warehouse Executive will be responsible for managing the physical receipt, storage, and issuance of materials, and accurately recording these movements within the SAP Business One (SAP B1) system.

The candidate must be a "system-first" thinker who ensures that physical stock and SAP B1 stock always match. They must be deeply familiar with SAP B1 transaction types like Goods Receipt PO (GRPO), Inventory Transfer, Inventory Transfer Request, Goods Issue, and Cycle Counts.

Key Responsibilities

A. Inward & Outward Operations (SAP B1)

• Goods Receipt (GRPO): Verify physical goods against Purchase Orders
• (PO) and supplier invoices. Accurately process the Goods Receipt PO (GRPO) in SAP B1.
• Issuing Materials: Issue raw materials and components to the production floor using the Goods Issue function in SAP B1 against specific Production Orders or Work Orders.
• Returns: Process Returns (to vendor or from production) correctly in the system to maintain accurate ledgers.
• Dispatch: Process Delivery Notes/Inventory Transfers in SAP B1 for finished goods being dispatched to customers or moved between locations (e.g., from Madhapur to Shadnagar).

B. Item Master & Data Management

• Item Creation: Create and maintain the Item Master in SAP B1 (assigning Item Codes, UoM groups, HSN codes, and warehouse default locations).
• BOM Support: Assist the BOM/Production team by ensuring the correct raw materials are mapped to the Bill of Materials in the system.
• Bin Locations: Manage and maintain bin locations/warehouses in SAP B1 to ensure easy traceability.

C. Stock Control & Audits

• Cycle Counts: Conduct regular physical stock counts (Cycle Counts) and reconcile physical stock with SAP B1 data. Investigate and adjust discrepancies in the system with proper approvals.
• Batch/Serial Tracking: Ensure that electronic components requiring batch or serial number tracking are accurately logged during GRPO and Goods Issue.
• Ageing & Obsolete Stock: Generate inventory ageing reports from SAP B1 and flag slow-moving or obsolete stock to management.

D. Reporting & Compliance

• MIS Reporting: Generate daily stock reports, stock ledger extracts, and GRN pending reports for the Accounts and Purchase teams.
• E-Way Bill Coordination: Provide accurate weights, dimensions, and values to the logistics/accounts team for E-way bill generation.
• Audit Support: Provide physical stock verification data and system reports (Stock Status Report, Inventory Audit Report) to internal and statutory auditors.
