Inventory Manager

Kruthika Jewellery is looking for a detail-oriented and proactive Inventory Manager to take end-to-end ownership of inventory management across our e-commerce operations.

The candidate will be responsible for managing physical stock, maintaining accurate inventory levels on our Shopify website, coordinating stock inward and outward movements, conducting regular stock reconciliation, planning replenishment, and ensuring that product availability on the website accurately reflects actual stock.

The ideal candidate should have experience in inventory management or e-commerce operations, strong Excel skills, and the ability to independently manage inventory processes while coordinating with the warehouse, order processing, procurement, and customer experience teams.

Key Responsibilities

1. Shopify Inventory Management

• Manage inventory on our Shopify website and ensure stock quantities are accurate at all times.
• Update inventory for new arrivals, restocked products, sold-out products, returns, exchanges, cancellations, and stock adjustments.
• Maintain accurate SKU-level inventory for individual designs, products, colours, and variants.
• Ensure physical stock and website inventory are synchronised to prevent overselling and incorrect stock availability.
• Maintain accurate product SKUs and inventory records for new product launches and existing catalogue items.
• Identify and resolve inventory discrepancies between Shopify and physical stock.

2. Physical Inventory and Stock Control

• Take complete ownership of physical inventory, including stock inward, outward movement, storage records, and stock adjustments.
• Maintain accurate records of goods received, goods issued, damaged products, defective items, and non-sellable stock.
• Conduct regular cycle counts and periodic physical stock audits.
• Investigate stock mismatches, missing items, duplicate entries, and unexplained inventory differences.
• Establish and maintain proper inventory control procedures to minimise stock loss and manual errors.
• Ensure returned products are added back to sellable inventory only after inspection and approval.

3. Inventory Planning and Replenishment

• Monitor fast-moving, slow-moving, and non-moving products.
• Identify low-stock products and recommend replenishment based on sales trends and stock availability.
• Coordinate with the management and relevant teams on purchasing requirements and stock replenishment.
• Maintain appropriate stock levels for high-demand products while avoiding unnecessary inventory accumulation.
• Track ageing inventory and highlight products that require attention.

4. Order, Returns and Warehouse Coordination

• Coordinate with the order processing and warehouse teams to ensure inventory is updated promptly as orders are processed and fulfilled.
• Ensure stock adjustments are accurately recorded for cancellations, returns, exchanges, and returned-to-origin (RTO) shipments.
• Track damaged, defective, missing, or incorrect products and ensure appropriate inventory adjustments.
• Investigate inventory-related order fulfilment issues and implement corrective measures.
• Ensure smooth coordination between inventory records, physical stock, and online product availability.

5. Reporting and Process Improvement

• Prepare daily, weekly, and monthly inventory reports.
• Maintain inventory master sheets, SKU records, stock movement reports, and reconciliation statements.
• Track inventory accuracy, stock discrepancies, stock ageing, and replenishment requirements.
• Develop and implement standard operating procedures (SOPs) for inventory management.
• Identify opportunities to automate repetitive tasks and improve inventory accuracy.
• Share regular inventory updates and proactively highlight risks to management.

Required Skills and Qualifications

• Graduate in any discipline; a background in Commerce, Supply Chain, Logistics, or Operations is preferred.
• 25 years of relevant experience in inventory management, stock control, warehouse operations, or e-commerce operations.
• Hands-on experience with Shopify inventory management is strongly preferred.
• Strong working knowledge of Microsoft Excel or Google Sheets, including VLOOKUP/XLOOKUP, Pivot Tables, filters, and data reconciliation.
• Good understanding of SKUs, product variants, stock inward and outward processes, and inventory reconciliation.
• Experience conducting physical stock audits and investigating inventory discrepancies.
• Understanding of inventory planning, replenishment, and stock ageing.
• Strong analytical skills, attention to detail, and numerical accuracy.
• Good communication, coordination, and problem-solving skills.
• Ability to independently manage inventory operations and take ownership of results.

Preferred Qualifications

• Experience working with Shopify-based D2C brands or e-commerce businesses.
• Experience in jewellery, fashion accessories, apparel, or other businesses with multiple product variants.
• Familiarity with inventory management apps, ERP systems, warehouse management systems, or inventory automation tools.
• Experience managing inventory for businesses with frequent product launches and high SKU variety.

• Completion of scheduled stock audits and reconciliations.
• Effective identification of low-stock products and replenishment requirements.
• Reduction in inventory loss, manual errors, and incorrect stock availability.
• Accuracy and timely submission of inventory reports.

Ideal Candidate Profile

We are looking for someone who is highly organised, systematic, accountable, and detail-oriented. The candidate must be comfortable working with inventory data and physical stock, capable of managing Shopify inventory, and proactive in identifying and resolving discrepancies.

The person should take complete ownership of inventory accuracy and ensure that our online inventory, physical stock, and operational records remain aligned at all times.

Candidates with hands-on Shopify inventory experience and end-to-end inventory ownership will be preferred.
