Import Manager

Key Responsibilities

Logistics & Supply Chain Coordination

• Ensure delivery and supply chain processes operate in a cost-effective and efficient manner.
• Coordinate with inbound and outbound logistics teams to complete logistics tasks within agreed service levels and KPIs.
• Coordinate shipment movement from point of origin to final destination in collaboration with third-party logistics partners.
• Track product deliveries to end customers and provide timely updates to internal and external stakeholders.
• Provide administrative support required by the logistics and supply chain function.

Import / Export Shipment Handling

• Coordinate with shippers and suppliers for shipments as per purchase orders and ensure imports are arranged within stipulated timelines.
• Prepare and maintain records related to logistics, import/export shipments, purchase orders and major shipment issues.
• Arrange full set of documents, CAN, original documents and supporting papers for customs clearance.
• Handle formalities related to re-import, re-export and high-seas shipments.
• Follow up with CHA for timely clearance of shipments and resolution of pending matters.

Documentation, Banking & Customs Support

• Prepare complete documents for remittance and submit to bank before maturity dates / payable-at-sight requirements.
• Coordinate for release of BRO and collection of original documents against acceptance of documents on time.
• Review and approve checklist for filing Bill of Entry and Shipping Bill in customs.
• Handle customs queries, documentation gaps and clarification requirements in coordination with CHA and internal teams.
• Generate SIMS and CIMS wherever applicable and maintain related compliance records.

Vendor, Freight & Carrier Management

• Negotiate and establish pricing, delivery terms, quality requirements, contracts and supply terms with domestic and international vendors.
• Appoint and coordinate with carriers, freight forwarders, transporters and logistics service providers.
• Negotiate freight rates and support cost optimization for forwarding and transportation services.
• Monitor vendor and transporter performance to improve service levels and reduce logistics delays.
• Maintain strong working relationships with vendors, freight forwarders, CHA, transporters and internal stakeholders.

Issue Resolution & Escalation

• Proactively identify issues related to logistics, transportation, import/export shipments and customs clearance.
• Escalate critical issues to internal stakeholders and drive timely resolution.
• Handle complex logistics and transportation issues in coordination with supply chain, finance and operations teams.
• Track major shipment delays, documentation issues, clearance bottlenecks and cost escalations.

MIS, Reporting & Dashboard Management

• Develop reports and dashboards for logistics coordination activities at defined frequency.
• Prepare monthly MIS reports for finance, management, vendors and audit teams.
• Track shipment costs, freight charges, clearance status, pending documentation and major issues.
• Maintain accurate records of PO status, shipments, remittances, customs documents and vendor coordination.
