Import & Export Executive

Role & responsibilities

Job Purpose

To manage end-to-end import and export operations, ensuring timely customs clearance, regulatory compliance, documentation accuracy, cost optimization, and uninterrupted movement of materials. The role is responsible for coordinating with suppliers, freight forwarders, CHA, government authorities, and internal stakeholders while ensuring compliance with Indian Customs, DGFT, international trade regulations.

Key Responsibilities

Import Operations Management

• Coordinate import shipments from global suppliers.
• Monitor shipment schedules from dispatch until final delivery.
• Review and verify shipping documents before cargo arrival.
• Coordinate with suppliers, freight forwarders, CHA and internal warehouses team.
• Ensure timely customs clearance to avoid production disruptions.
• Monitor inbound shipment risks and escalate delays promptly.
• Regularly update of good in transit details.
• Maintain shipment visibility and provide regular status updates to Material planner.
• Manage urgent and critical shipments through airfreight and premium logistics solutions when required as per management approval.

Export Operations Management

• Coordinate export dispatches based on customer requirements.
• Ensure timely preparation and submission of export documentation.
• Arrange export bookings with freight forwarders.
• Monitor export shipments up to proof of delivery.
• Support export order fulfillment and customer communication.
• Track export performance and service levels.

Indian Customs Compliance & Clearance

• Manage end-to-end customs clearance activities for imports and exports.
• Ensure proper customs documentation and statutory compliance.
• Liaise with Customs Authorities, CHAs, Port Authorities, and Government Agencies.
• Resolve customs queries, assessments, examinations, detention notices, and reassessments.
• Monitoring customs clearance lead times and clearance performance.

Documentation Management

Import Documentation

Review and validate:

• Commercial Invoice, Packing List, Bill of Entry (BOE),Bill of Lading (BL), Air Waybill (AWB), Certificate of Origin (COO), Insurance Certificate, Fumigation Certificate, Test Certificates, MSDS, Import Licenses, FTA Documentation

Export Documentation

Prepare and review: Shipping Bill, Commercial Invoice, Packing List, Certificate of Origin, LUT/Bond Documentation, Export Incentive Documentation, FTA Documentation, Bank Documents, LC Documentation, 

Ensure 100% documentation accuracy and compliance.

DGFT & Trade Compliance

Manage and support compliance under:

• Import Export Code (IEC)
• Advance Authorization Scheme
• EPCG Scheme
• Duty Exemption Schemes
• RoDTEP Scheme
• Export Promotion Schemes
• Free Trade Agreements (FTA)
• Foreign Trade Policy (FTP)

Preferred candidate profile

HSN Classification & Duty Management

• Classify imported and exported materials under correct HSN Codes.
• Ensure accurate duty calculations.
• Support duty optimization opportunities.
• Identify applicable customs exemptions and trade benefits.

Bonded Warehousing (Preferred)

Knowledge of:

Qualifications

Essential

• Bachelor’s degree in commerce, Supply Chain, Logistics, International Business, or related discipline.

Preferred

• Diploma/Certification in Import Export Management.
• DGFT or Customs-related certification.

Experience

Executive Level

• 10-12 years of experience in Import & Export Operations.
