Role overview

We are looking for an organised and academically aware IB & IGCSE Tutoring Operations Manager to manage the complete tutoring experience for students, parents and tutors.

This is an academic-operations and service-delivery role, not a sales or admissions-consulting position. You will recruit and evaluate tutors, match students with suitable teachers, manage schedules, monitor lesson quality, track student progress and resolve parent or tutor concerns.

Key responsibilities

• Recruit, screen, evaluate and onboard tutors across IBDP, IB MYP, Cambridge IGCSE, Pearson Edexcel International GCSE and, where relevant, AS/A Levels.
• Conduct initial tutor interviews and coordinate or evaluate demo lessons.
• Match students with tutors based on curriculum, examination board, subject, level, learning needs, personality, time zone and availability.
• Confirm whether students follow Cambridge or Edexcel specifications and identify the correct subject level or paper before assigning tutors.
• Manage trial lessons, regular schedules, rescheduling, tutor substitutions and cancellations.
• Track attendance, lesson completion, homework, learning plans and student progress.
• Ensure tutors submit lesson notes and progress updates accurately and on time.
• Monitor teaching quality through lesson observations and feedback from students and parents.
• Identify underperforming tutors and implement improvement plans or replacements.
• Communicate professionally with parents regarding schedules, progress, concerns and corrective action.
• Resolve urgent tutor cancellations and parent escalations calmly and promptly.
• Maintain complete records in Google Sheets, calendars, CRM and internal systems.
• Coordinate lessons across Indian and international time zones where required.
• Maintain a reliable tutor pipeline across Mathematics, Physics, Chemistry, Biology, Economics, Business Management, English and other international-curriculum subjects.
• Track operational metrics including tutor attendance, trial-to-regular conversion, student retention, tutor utilisation, parent satisfaction and issue-resolution time.

Candidate requirements

• 3–8 years of experience in tutoring operations, academic coordination, international-school operations, EdTech operations or education-service delivery.
• Experience managing tutors, teachers, students or academic schedules.
• Working knowledge of at least two of the following: IBDP, IB MYP, Cambridge IGCSE, Pearson Edexcel International GCSE or AS/A Levels.
• Direct IB experience is strongly preferred.
• Understanding of IB HL/SL distinctions and the differences between Cambridge and Edexcel specifications.
• Strong spoken and written English.
• Excellent organisation, follow-up and problem-solving skills.
• Comfortable communicating with parents, students and tutors through calls, WhatsApp, email and video meetings.
• Comfortable using Google Sheets, Google Calendar, CRMs and online learning platforms.
• Able to manage urgent schedule changes and service concerns during working hours.
• Willing to remain hands-on and personally accountable for daily tutoring operations.

Preferred experience

• Previous experience with an IB school, international tutoring company, premium education service or EdTech organisation.
• Existing network of IB or IGCSE tutors.
• Experience evaluating tutor demo lessons.
• Familiarity with internal assessments, school assessments, mock examinations, predicted grades and final examinations.
