    About this role

    About us

SD Scents operates in fine fragrances, home fragrances and B2B scent solutions. Our brand Wisdom Fragrances brings together 32 years of perfumery expertise. We are looking for a hands-on manager to organise daily operations and help our growing team work smoothly.

    About the role

You will take ownership of office administration, facilities, HR coordination, meeting routines and daily execution across departments.

The Operations Manager and operations team will report to you. You will work with the founder and department leads to clarify responsibilities and ensure agreed tasks are completed on time.

    Key responsibilities

    Office administration and facilities

    • Manage daily office functioning, housekeeping, supplies, equipment, utilities and administrative support staff.
    • Maintain annual maintenance contracts (AMCs), service agreements and renewal calendars; coordinate repairs, preventive maintenance and vendor performance.
    • Maintain asset and vendor records, compare quotations and control administrative expenses within approved budgets.

    Task tracking and departmental coordination

    • Maintain a shared task tracker with clear owners, deadlines and status; follow up on commitments across departments.
    • Plan and schedule weekly departmental and management meetings, prepare agendas, confirm attendance and record decisions and actions with owners and deadlines.
    • Coordinate the founders calendar for agreed meetings and priorities; manage reminders, preparation and scheduling conflicts.
    • Share a weekly dashboard covering completed and overdue work, hiring gaps, stock risks, blockers and decisions required from the founder.

    SOPs and organisation structure

    • Work with department leads to document standard operating procedures (SOPs), checklists and handovers; monitor adherence and close recurring gaps.
    • Help the founder define job responsibilities, reporting lines and approval processes; keep the organisation chart and role documents current.

    Stock management and procurement planning

    • Manage stock on a day-to-day basis through the Operations Manager and operations team, who will report to you; review balances, stock movements and upcoming requirements.
    • Align raw material, packaging and finished product stock with sales, production and dispatch plans; anticipate demand and flag shortages before they affect fulfilment.
    • Set minimum stock and reorder levels using consumption, forecasts and supplier lead times; initiate purchase requests in advance and coordinate approvals, purchase orders and delivery follow-ups with procurement.
    • Ensure timely recording of receipts, dispatches, returns and stock transfers, supported by regular physical counts and reconciliation with records.
    • Review ageing, slow-moving, damaged and dead stock; coordinate action plans with operations, sales and the founder, with approval for write-offs or disposal.

    HR and recruitment responsibilities

    • Coordinate recruitment from role briefing and job posting through sourcing, screening, interviews, reference checks and offer documentation.
    • Manage joining formalities, induction, employee files, probation reviews, exit processes and handovers.
    • Track attendance, punctuality and leave; coordinate accurate payroll inputs with accounts or the payroll provider.
    • Communicate company policies consistently, handle routine employee concerns confidentially and escalate sensitive matters appropriately.
    • Maintain HR and compliance calendars and coordinate required documentation with accounts and external advisers.

    What we are looking for

    • 5–8 years of relevant experience across office operations, administration and HR, preferably in a small or growing founder-led business.
    • Proven experience managing facilities, vendors, recruitment and employee administration, with practical experience in stock management, procurement planning and operations team management.
    • Evidence of improving task completion, introducing practical SOPs and keeping records organised.
    • Strong Excel or Google Sheets skills, comfortable using shared task trackers and preparing clear reports.
    • Clear written and spoken English and Hindi; Marathi is an advantage.
    • A graduate in any discipline; a qualification in HR, business administration or operations is preferred.
