HR Documentation Executive / HR Executive

Job Summary

We are looking for an HR professional responsible for managing employee documentation, joining formalities, HR records and coordination to ensure a smooth and timely onboarding process.

Key Responsibilities

• Manage complete employee documentation and joining formalities.
• Collect, verify and maintain employee KYC and educational documents.
• Ensure timely completion of joining forms, offer letters, appointment letters and other HR documentation.
• Coordinate with candidates and internal teams for pending documents.
• Maintain accurate and updated employee records in HR systems and trackers.
• Follow up with candidates/employees for pending or incomplete documentation.
• Coordinate with HR Operations, Recruitment and Shared Services teams for smooth onboarding.
• Ensure documentation is completed as per company policies and process requirements.
• Maintain confidentiality and proper filing of employee information.
• Prepare and maintain regular documentation reports and trackers.
• Support the HR team in other employee lifecycle activities whenever required.

Required Skills

• Good knowledge of HR documentation and onboarding processes.
• Strong follow-up and coordination skills.
• Good communication and interpersonal skills.
• Proficiency in MS Excel, Word and basic HR systems.
• Good attention to detail and ability to maintain accurate records.
• Ability to handle multiple requirements within timelines.

Experience

14 years of experience in HR Operations / HR Documentation / Recruitment Operations / Onboarding.

Location

As per business requirement

Qualification

Graduate in any discipline; HR/Management qualification will be an added advantage.
