Hiring Manager Export Logistics

Hiring Manager - Exports to manage and oversee end-to-end export logistics operations, ensuring timely shipment planning, documentation, regulatory compliance, coordination with shipping lines, freight forwarders, transporters, customers, and internal stakeholders. The role is responsible for ensuring on-time dispatches, accurate export documentation, timely VGM submission, ODeX updates, cost optimization, and smooth execution of export shipments.

Key Responsibilities

Export Logistics & Shipment Management

• Manage end-to-end export logistics, from shipment planning and vehicle placement to container loading, port movement, and shipment dispatch.
• Coordinate with shipping lines, freight forwarders, customs brokers, transporters, and other logistics service providers.
• Ensure timely vehicle placement based on shipment schedules, customer requirements, and committed dispatch dates.
• Monitor container availability, cargo readiness, stuffing, gate-in, vessel cut-off, and vessel departure.
• Proactively identify and resolve shipment delays, vehicle placement issues, and port-related challenges.
• Track shipments and provide timely updates to customers and internal stakeholders.
• Have hands-on working knowledge of the ODeX platform and its application in export logistics operations.
• Ensure timely submission and updating of Verified Gross Mass (VGM) within the prescribed shipping-line and port cut-off timelines.
• Maintain regular communication with customers regarding shipment readiness, dispatch schedules, vehicle placement, and expected delivery timelines.
• Coordinate closely with transporters to ensure vehicles are arranged as per the agreed schedule.
• Ensure alignment between customer commitments, production completion, vehicle placement, and shipping schedules.
• Maintain close coordination with internal stakeholders to resolve operational bottlenecks and prevent shipment delays.
• Ensure timely preparation and verification of commercial invoices, packing lists, shipping instructions, shipping bills, bills of lading, and other applicable export documents.
• Track shipment status, vehicle placement, dispatch adherence, vessel cut-offs, documentation completion, and logistics expenses.

Mandatory Skills & Competencies

• ODeX platform knowledge: Mandatory hands-on experience.
• VGM management: Mandatory experience with timely VGM submission and updates.
• Export logistics: Strong practical knowledge of shipment planning, container movement, port operations, and shipping-line coordination.
• Customer communication: Excellent verbal and written communication skills.
• Internal stakeholder management: Ability to coordinate closely with multiple departments and drive timely closure of issues.
• Microsoft Excel: Good working knowledge of Excel, including data tracking, reporting, PivotTables, lookups, and MIS preparation.
