Job Description for Head Clinical Trial.

Designation General Manager

Location based out of Mumbai,

Experience 15 Years + of work experience

Key Responsibilities:

1. Study Set-up & Execution

1. Take complete responsibility for setting up and managing new clinical trial studies, from understanding client requirements to starting and completing the study.
2. Ensure every study starts on time, with all necessary arrangements in place, and runs smoothly without major errors or delays.

2. Laboratory Operations & Report TAT

1. Ensure all clinical trial samples are processed correctly and reports are delivered accurately and within the committed timelines (TAT).
2. Work closely with the Lab, Scientific and Processing teams to ensure sufficient manpower, equipment and resources are available to complete testing on time.
3. Review report delivery timelines daily for each study and client, identify possible delays and take immediate action to resolve them.

3. Quality, Audit & Compliance

1. Ensure all clinical trial activities follow the required quality standards, regulatory guidelines and commitments made to clients.
2. Work closely with the Quality team to ensure the department is always prepared for client, sponsor and regulatory audits.
3. Ensure all required records, such as equipment checks, testing records, training documents and sample tracking details, are properly maintained and updated.
4. Coordinate all internal and external audits, ensure necessary documents are available and work towards achieving zero major audit observations.
5. Ensure all issues identified during audits are resolved within the agreed timelines, with corrective actions taken to prevent them from happening again.
6. Regularly review operational risks and put preventive measures in place to avoid errors, delays and repeat issues.
7. Ensure patient and client information is kept confidential, all records are properly maintained and approved processes are followed.
8. Drive improvement in Net Promoter Score (NPS) by ensuring clients receive timely reports, accurate information, proactive updates and quick resolution of concerns.

4. Kit Management & Operational Readiness

1. Ensure sample collection kits and required materials are prepared correctly and delivered to the respective study locations on time.
2. Maintain adequate kit inventory, prevent shortages and minimise wastage while keeping costs under control.

5. Process Improvement & SOP Management

1. Regularly review existing processes and Standard Operating Procedures (SOPs) to identify gaps and ensure they are updated whenever required.
2. Work with the respective teams to fix recurring operational issues and introduce permanent solutions.
3. Identify opportunities to simplify work, reduce manual activities, prevent errors, improve productivity and control operating costs.

6. Client Management & Business Reviews

1. Conduct regular monthly and quarterly business review meetings with key clients to discuss performance, service quality and areas for improvement.
2. Share clear updates with clients on study progress, report delivery timelines, service issues, actions taken and improvements being implemented.
3. Build strong client relationships by ensuring timely communication, quick resolution of concerns and consistent service delivery.

7. Revenue Growth & Business Performance

1. Work closely with the Sales and Business Development teams to achieve monthly, quarterly and annual revenue targets for the Clinical Trials business.
2. Support the onboarding of new clients and studies while identifying opportunities to grow business from existing clients.
3. Regularly review business performance and take necessary actions to achieve revenue and profitability targets.

8. Billing, Collections & Receivables

1. Work closely with the Finance, Billing and Sales teams to ensure invoices are raised correctly and on time.
2. Take responsibility for following up on outstanding payments and ensuring collections are received within the agreed credit period.
3. Resolve billing-related issues quickly, reduce overdue payments and ensure that no revenue is missed due to operational or billing gaps.

9. Team Management & Leadership

1. Lead and manage the Clinical Trials operations team, ensuring everyone clearly understands their responsibilities and performance expectations.
2. Guide, train and develop team members to improve their skills, productivity and overall performance.
3. Build a culture where team members take ownership of their work, maintain high quality standards and focus on delivering the best service to clients.
4. Conduct regular team reviews, address performance gaps and ensure smooth coordination between all departments.
