We are seeking a detail-oriented Hardware Asset Management (HAM) Specialist to oversee the lifecycle of our global Multi-Function Device (MFD) and printer fleet.

In this role, you will be the primary point of contact for managing MFD procurement, coordinating complex installation schedules, overseeing equipment movements, and optimizing supply chain logistics. Your focus will ensure that our organization maintains an efficient, cost-effective, and fully operational print and imaging infrastructure.

    Responsibilities:

    • Manage the end-to-end procurement process for MFDs and printers based on business requirements and approved hardware standards.
    • Coordinate with print vendors to obtain quotations, validate device configurations, and ensure compliance with asset lifecycle policies.
    • Monitor hardware support contracts, warranty expirations, renewals, equipment returns, and disposal activities.
    • Coordinate installation schedules with site contacts, local IT teams, and vendor technicians for device delivery, setup, and network configuration.
    • Ensure site readiness by validating physical space, power availability, and network connectivity requirements prior to hardware deployment.
    • Plan and coordinate secure decommissioning activities, including hardware removal and data sanitization of legacy devices.
    • Maintain accurate asset records and track equipment movements, relocations, and transfers across offices and departments.
    • Manage and maintain data integrity within IT Asset Management (ITAM) systems and CMDB platforms, including serial numbers, locations, IP addresses, and cost center information.
    • Conduct regular physical and system audits to ensure asset compliance, eliminate discrepancies, and optimize fleet utilization.
    • Oversee printer consumables and supply management, including toner, maintenance kits, spare parts, and replenishment processes.
    • Monitor inventory levels and support supply optimization initiatives to reduce waste and improve operational efficiency.
    • Prepare asset, inventory, utilization, and lifecycle reports to support operational and financial decision-making.
    • Collaborate with procurement, IT operations, vendors, and business stakeholders to ensure effective management of the global print environment.

    Qualifications:

    • Bachelors degree in Information Technology, Computer Science, or a related discipline.
    • Minimum 3 years of experience in Hardware Asset Management, IT Procurement, Asset Management, or Fleet Management.
    • Experience managing printer, MFD, or endpoint hardware lifecycles within enterprise environments.
    • Knowledge of IT Asset Management (ITAM) principles, asset lifecycle processes, and inventory controls.
    • Experience working with Managed Print Services (MPS) providers and print fleet management programs.
    • Strong understanding of asset tracking, inventory management, procurement, and vendor management practices.
    • Advanced Microsoft Excel skills, including VLOOKUPs, Pivot Tables, and reporting functions.
    • Strong organizational, analytical, and problem-solving skills.
    • Excellent communication and stakeholder management abilities.
    • Ability to manage multiple priorities and coordinate activities across geographically distributed locations.

    Preferred Qualifications:
    • Experience with ITAM, ITSM, or CMDB platforms such as ServiceNow, Remedy, or Jira Service Management.
    • Experience working with major MFD manufacturers such as Xerox, Konica Minolta, Canon, Ricoh, or HP.
    • Knowledge of Managed Print Services (MPS) portals and automated toner fulfillment solutions.
    • Experience with YSoft print management solutions or similar print management platforms.
    • Familiarity with hardware asset audits, compliance processes, and governance requirements.
    • Experience supporting global or multi-site enterprise environments.
    • Understanding of sustainability initiatives related to print optimization and asset lifecycle management.
