Graduate Trainee

Purpose of the Position

The trainee will support the People Development team on data, reporting and analytics work, and will also assist on wider PD activities. The role suits someone who can clean and organise data, interpret it, and present it clearly. The trainee will work on aggregated learning, training, budget and engagement data. Access to individual employee records will be restricted, and all sensitive data will be provided in masked or summary form.

Key Responsibilities

1. Dashboards and Reporting primary ownership

• Build and maintain the People Development Power BI dashboard covering learning, training and engagement data.
• Automate recurring monthly and quarterly reports that are currently prepared manually in Excel.
• Prepare charts, data views and slides for internal team reviews and management updates.
• Maintain a single, clean source of data for all PD reporting, with clear version control.

2. Learning and Development Data – primary ownership

• Maintain the PD learning database – training records, attendance, nominations and feedback scores.
• Track training completion status by department and grade, and flag pending cases to the team.
• Support the training calendar with nomination tracking, vendor data and utilisation analysis.
• Analyse training effectiveness – coverage, cost per participant and feedback trends.

3. Engagement and Survey Analytics – primary ownership

• Analyse employee engagement survey results at an aggregate level – participation, scores by department and grade, and year-on-year movement.
• Prepare result summaries and action-tracking reports for the team.
• Support data analysis for engagement initiatives, recognition programmes and internal campaigns.

4. Budget Tracking – support role

• Assist in tracking the PD training budget against actuals and preparing monthly variance summaries.
• Compile vendor and invoice data for review by the team owner.

5. Wider People Development Support

• Support planning and coordination for learning programmes, workshops and induction sessions – scheduling, attendance, logistics and post-session feedback.
• Assist with employee engagement events and internal campaigns – nomination forms, communication trackers and participation data.
• Support preparation of internal communication material, newsletters and flyers in coordination with the team.
• Maintain the weekly PD project and BAU tracker and follow up on updates from team members.
• Assist with documentation, templates and process notes for PD activities.
• Identify manual or repetitive steps in PD reporting and suggest simpler ways of doing them.

Skills and Competencies Required

Technical – essential

• Advanced MS Excel – lookups, pivots, Power Query, conditional formatting, data validation.
• Power BI – data modelling, basic DAX, building and publishing interactive dashboards.
• MS PowerPoint – ability to convert analysis into clean, readable slides.

Technical – preferred

• Basic statistical understanding – averages, distributions, correlation and trend analysis.
• Exposure to any HR system or reporting module.

Behavioural

• Analytical thinking – able to spot patterns, outliers and data errors.
• Attention to detail and accuracy in reporting.
• Discretion and confidentiality in handling any employee-related information.
• Clear written and verbal communication; able to explain numbers simply.
• Willingness to support the team across a range of PD activities, not only data work.
