Job Summary

The Gate Entry Head is responsible for managing all inbound vehicle documentation, gate operations, material entry, transport documentation, and freight-related activities at the Distribution Center. Overseeing a team of 5 Supervisors and approximately 30 Associates.The role ensures accurate recording of all incoming materials, timely bilty booking, freight costing, and compliance with company procedures while coordinating with warehouse, transport, procurement, and finance teams.

Key Responsibilities

Gate Entry & Material Management

• Supervise all gate entry and exit operations for vehicles.
• Ensure accurate gate entry of all incoming materials into the ERP/system.
• Verify delivery challans, invoices, purchase orders, e-way bills, and other supporting documents.
• Coordinate with the warehouse team for timely unloading and receipt of materials.
• Maintain accurate records of all inbound and outbound vehicles.

Bilty Booking & Documentation

• Prepare and book bilties (Lorry Receipts) for all dispatches.
• Ensure transport documents are complete, accurate, and compliant with regulations.
• Maintain records of transport documents and dispatch details.
• Coordinate with transporters for vehicle availability and documentation.

Freight Costing & Verification

• Calculate freight charges as per approved rate contracts.
• Verify transporter bills against agreed freight rates.
• Maintain freight costing records and MIS reports.
• Resolve discrepancies related to freight billing and transport invoices.

Coordination

• Coordinate with Procurement, Warehouse, Logistics, Finance, and Transport teams.
• Follow up with transporters for timely vehicle placement and dispatch.
• Support inventory reconciliation by ensuring accurate material documentation.

Compliance & Reporting

• Ensure compliance with company policies, SOPs, GST, e-way bill, and transport regulations.
• Maintain gate registers, transporter records, and document archives.
• Prepare daily, weekly, and monthly reports on gate entries, dispatches, freight costs, and transporter performance.
• Identify opportunities to improve gate operations and documentation processes.

Required Qualifications

• Bachelor's degree in Logistics, Supply Chain, Commerce, or a related field.
• 5-10 years of experience in warehouse, logistics, or distribution center operations.
• Experience in gate entry management, transport coordination, and documentation.

Required Skills

• Strong knowledge of gate entry procedures and warehouse operations.
• Experience with bilty (LR) booking and transport documentation.
• Understanding of freight costing and transporter billing.
• Working knowledge of ERP systems (SAP, Microsoft Dynamics, or similar).
• Good knowledge of GST, e-way bills, and logistics documentation.
• Strong attention to detail and documentation accuracy.
• Good communication, coordination, and problem-solving skills.
• Proficiency in Microsoft Excel and reporting.
