Front Office Executive

Key responsibilities

• Greet and welcome guests as soon as they arrive at the office.
• Manage visitor entries through the VMS system.
• Direct visitors to the appropriate person/cabin and arrange refreshments as required.
• Answer, screen, and forward incoming phone calls professionally.
• Ensure the reception area is neat, tidy, and presentable, with adequate stationery, forms, flowers, and brochures.
• Provide accurate information to visitors and callers regarding the organization and its services.
• Order and maintain inventory of stationery, housekeeping, and pantry materials.
• Coordinate cabin, conference room, and parking bookings for HODs and employees.
• Handle petty cash management and maintain related records.
• Verify attendance, OD entries, and reimbursement claims for office and pantry staff.
• Prepare and submit monthly office consumption reports.
• Demonstrate excellent communication and interpersonal skills while interacting with visitors, employees, and vendors.
• Always maintain a positive attitude and professional demeanor.
• Effectively handle pressure situations and manage multiple tasks in a fast-paced environment.
